Role Overview

This role is the backbone of execution.

As the Wedding Operations Manager, you are responsible for translating plans and designs into flawless on-ground reality. You own logistics, timelines, vendor coordination, manpower, and problem-solving across all wedding events.

This is not a desk role. It requires presence, decisiveness, and the ability to stay composed while managing complexity, scale, and pressure.

You are the person who ensures that what was promised is delivered—quietly, efficiently, and without drama.

Key Responsibilities

1. Event Operations & Execution

- Own end-to-end operational planning for all wedding events
- Create detailed event-wise execution timelines and run-of-show documents
- Ensure smooth setup, transitions, and breakdowns across events
- Anticipate operational risks and plan contingencies in advance

2. Vendor & Partner Management

- Coordinate with all vendors: decor, production, lighting, sound, hospitality, logistics, security, artists, and venues
- Share clear timelines, layouts, and expectations with each vendor
- Monitor vendor performance and adherence to timelines and scope
- Handle on-ground negotiations, issue resolution, and last-minute adjustments

3. Team & Manpower Management

- Plan and deploy on-ground teams effectively
- Assign clear roles and responsibilities to coordinators and staff
- Ensure team discipline, punctuality, and alignment
- Act as the central command point during events

4. Budget & Resource Control

- Ensure execution stays aligned with approved budgets
- Track scope changes and flag cost implications early
- Minimise wastage through smart planning and reuse
- Coordinate with planning and accounts teams on reconciliations

5. Client & Internal Coordination





- Work closely with Client Service, Planning, and Design teams
- Ensure client-approved plans are executed accurately
- Shield clients from operational stress during events
- Communicate calmly and clearly during high-pressure moments

6. On-Ground Crisis Management

- Handle unexpected issues decisively (weather, delays, vendor failures, guest-related challenges)
- Make quick, practical decisions without escalating panic
- Maintain control and clarity in chaotic situations

Ideal Candidate Profile

Must-Have

- 4-6 years of experience in wedding operations, large-scale events, or hospitality operations
- Strong understanding of Indian weddings and multi-day event formats
- Proven ability to manage large teams and multiple vendors
- Excellent logistical and organisational skills
- Comfort working long hours during event periods

Good to Have

- Experience with destination weddings
- Exposure to luxury or high-end events
- Understanding of production, staging, and technical setups
- Ability to read layouts, drawings, and spatial plans
