Senior Executive / Assistant Manager - Student Success & Experience

Role Overview
Awdiz Institute is looking for a Senior Executive / Assistant Manager - Student Success & Experience who will take complete ownership of the student journey after enrollment.
The role will be the primary point of contact for students and will be responsible for ensuring a smooth experience across Admission → Orientation → Training → Engagement → Job Readiness → Interviews → Placement → Joining.
This is a high-ownership role involving student engagement, attendance and progress tracking, trainer coordination, grievance management, job-readiness coordination, interview follow-ups, placement follow-ups and student MIS.
The ideal candidate should be highly organised, proactive, empathetic and exceptionally strong at follow-ups, coordination and problem-solving.
Key Responsibilities
1. Admission-to-Training Handover
- Own the complete handover of new admissions from the Sales team.
- Ensure every recent student receives a proper orientation before starting training.
- Confirm batch allocation and communicate batch details to students.
- Ensure LMS access is activated and confirmed.
- Ensure students are added to the relevant WhatsApp groups.
- Track completion of student ID cards, documents and other joining formalities.
- Ensure all student information is accurately captured and updated.
- Ensure there is no gap between admission and commencement of training.
2. New Student Orientation
- Conduct/coordinate new student orientation.
- Explain the training journey, attendance expectations, academic process, assessments, assignments, mock interviews and placement journey.
- Communicate important student policies, processes and expectations.
- Set the right expectations around training and placement from the beginning.
3. Student Attendance & Absentee Management
- Take full daily ownership of student attendance.
- Monitor attendance across batches on a daily basis.
- Follow up with absent students.
- Identify recurring absenteeism and take corrective action.
- Track students with prolonged absence.
- Maintain records of long-absence cases.
- Escalate serious attendance and retention-risk cases.
- Identify students at risk of disengagement or dropping out.
4. Student Engagement & Campus Experience
- Maintain regular communication with students throughout their training journey.
- Ensure students remain engaged with their course and institute.
- Act as the first point of contact for student queries.
- Support students with day-to-day campus-related requirements.
- Ensure a positive and consistent campus student experience.
- Collect regular student feedback.
- Identify recurring student concerns and recommend improvements.
- Organise and coordinate student engagement activities where required.
5. Course Progress & Academic Tracking
- Take complete ownership of course progress tracking.
- Monitor whether students are progressing as per the planned curriculum.
- Track assignment completion and pending assignments.
- Track tests and assessments.
- Track mock completion and performance.
- Monitor LMS activity and ensure student records are updated.
- Coordinate with trainers regarding student performance, attendance and academic concerns.
- Track course delays and escalate them to the relevant Operations team.
- Ensure pending academic activities are followed up until closure.
6. Trainer & Batch Coordination
- Act as the first-level coordination point between students and trainers.
- Track trainer-related complaints and concerns.
- Handle first-level batch complaints.
- Coordinate with trainers to resolve student issues.
- Track recurring trainer or batch-related issues.
- Escalate unresolved or serious issues to the appropriate management team.
- Maintain records of trainer and batch feedback.
7. Student Complaint & Escalation Management
- Maintain the Student Complaint Register.
- Maintain the Student Escalation Register.
- Record student grievances and ensure timely follow-up.
- Resolve routine student issues at the first level.
- Escalate serious or recurring grievances to management.
- Track each complaint until closure.
- Maintain proper documentation of action taken and resolution.
- Coordinate parent meetings for routine matters and escalate serious cases appropriately.
- Record student policy violations and escalate cases requiring management intervention.
- Flag potential refund-risk cases.
8. Job Readiness & Career Preparation
Take operational ownership of ensuring students become job-ready.
- Coordinate resume-building sessions.
- Track resume completion for every student.
- Coordinate personality development sessions.
- Coordinate job-readiness activities.
- Track completion of required projects, assessments, certifications and other job-readiness requirements.
- Prepare and maintain the Job Ready Checklist.
- Coordinate mock interview scheduling.
- Track mock interview completion.
- Ensure students complete required job-readiness activities before placement.
9. Training-to-Placement Handover
- Own the operational handover of students from Training to Placement.
- Ensure students who are ready for placement have completed all required documentation and activities.
- Ensure resumes, projects, assessments, certifications and mock interviews are completed as required.
- Provide accurate student information to the Placement team.
- Ensure there is no gap between training completion and placement activation.
10. Student-Side Placement Coordination The role will own the student-side coordination of the placement process.
- Coordinate placement interview schedules with students.
- Confirm student availability and interview attendance.
- Follow up with students before interviews.
- Track interview attendance.
- Collect interview feedback from students.
- Follow up with students after interviews.
- Capture selection, rejection and student-refusal information.
- Maintain accurate records of student interview outcomes.
- Follow up with selected students until offer and joining confirmation.
- Collect joining confirmation from placed students.
- Track students pending placement activity.
- Maintain placement-aging information from the student side.
- Flag students who repeatedly refuse opportunities or do not attend interviews.
Note: Employer relationships, generation of job opportunities, job openings/JDs and employer-side placement management will remain with the Placement/HR function.
11. Student Reviews & Quality Checks The role will coordinate and track completion of:
- Student Video Reviews
- Training Video Reviews
- Certificate Reviews
- Placement Reviews
- Project Reviews
Ensure these reviews happen within defined timelines and that observations and required actions are properly recorded.
12. Student LMS & Documentation
- Take complete ownership of student LMS updates.
- Ensure attendance, assignments,
assessments and relevant student activities are accurately updated.
- Maintain student documentation and records.
- Ensure student data remains accurate and up to date.
- Maintain all relevant trackers, registers and checklists.
13. Student Feedback & Experience Improvement
- Regularly collect feedback from students across their journey.
- Conduct batch-level feedback where required.
- Track feedback related to trainers, batches, course delivery, campus experience and placement support.
- Identify recurring issues and patterns.
- Share actionable feedback with relevant internal teams.
- Follow up on corrective actions.
14. MIS & Reporting
- Prepare the Weekly Student MIS.
- Provide accurate student data for the Weekly Placement MIS.
- Maintain attendance, engagement, academic progress, job-readiness and placement trackers.
- Maintain complaint and escalation records.
- Provide required inputs for the monthly management report.
- Ensure all student data is accurate, timely and audit-ready.

Candidate Profile The ideal candidate should:
- Have 2 to 6 years of experience in student success, student coordination, academic operations, customer success, relationship management, HR coordination or a similar role.
- Have excellent verbal and written communication skills.
- Be comfortable interacting with students on a daily basis.
- Be highly organised and exceptionally strong at follow-ups.
- Be able to manage multiple batches and a large student base simultaneously.
- Have strong coordination and stakeholder-management skills.
- Be comfortable maintaining MIS, trackers and documentation.
- Be able to handle student complaints and difficult conversations professionally.
- Be empathetic while maintaining organisational policies and processes.
- Be proactive in identifying student issues before they become escalations.
- Have strong ownership and accountability.
- Be comfortable working with Excel/Google Sheets, CRM and LMS systems.
- Have the maturity to independently handle student escalations and coordinate with multiple internal teams.
- Be willing to work in a fast-paced education environment.
