The role provides an opportunity to work closely with senior leadership during an important phase of the organisations growth and development.
Desired Candidate Profile
We are looking for a mature, polished and highly organised Executive Secretary who is comfortable working for MD and his extended team and managing multiple priorities in a rapid-paced professional environment.
Core Responsibilities
- Responsible for secretarial support to Department and MD
- To liaise, coordinate and manage external stakeholders like clients/investors on a frequent basis with organizing meetings, events, stay, food and travel bookings for corporate visitors,
as well as Partners of the firm
- To coordinate, set up and diarise Investment Committee calls and coordinate with Partners, business heads for availability
- Co-ordinate with admin & finance team for travel plans i.e. booking tickets, boarding passes, visas, car services, hotel arrangements for the department and their payments in time
- Coordinating with HR department & interview panel for the interview schedules
- Maintain records of the travels and the expenses for entire department
- Ensuring internal and external communications are passed on in confidentiality and on priority to Singapore office
- Arranging meetings with business associates, lenders & internal management for the MD as required.
- General Administrative work for MD
- Fixing appointments and maintaining them and contacts on Outlook
- Providing any other secretarial assistance
