– RECEPTIONIST
Organization: Orange Child Development Centre
Department: Administration / Front Office
Position: Receptionist
Reporting To: Clinic Coordinator / Branch Manager / Centre Head
Employment Type: Full-Time
Working Hours: 10:00 AM – 7:00 PM, Monday to Saturday
Location: Orange Child Development Centre – As assigned by Management
Role Overview The Receptionist is the first point of contact for parents, children, visitors, therapists, and other stakeholders at Orange Child Development Centre.
The role requires a professional, friendly, organized, and responsible individual who can efficiently manage front-office operations, appointments, parent communication, payments, records, and routine administrative responsibilities while ensuring a welcoming experience for every family visiting the centre.
Key ResponsibilitiesFront Office & Parent Relations
- Welcome parents, children, visitors, and guests in a professional and friendly manner.
- Attend incoming calls, WhatsApp enquiries, and walk-in enquiries.
- Understand the basic services offered by Orange CDC and provide appropriate information to parents.
- Direct parents and visitors to the appropriate therapist, coordinator, or department.
- Maintain a positive, supportive, and child-friendly environment at the reception.
- Handle parent concerns professionally and escalate clinical or sensitive matters to the Clinic Coordinator or Centre Head.
Appointment & Session Management
- Schedule therapy sessions, assessments, consultations, and follow-up appointments.
- Coordinate therapist schedules and available time slots.
- Confirm appointments with parents and communicate changes or cancellations promptly.
- Track attendance, cancellations, rescheduling, and missed sessions.
- Ensure appointment and session records are updated accurately on a daily basis.
- Coordinate with therapists regarding client arrival, schedule changes, and session requirements.
Billing, Payments & Cash Handling
- Collect therapy fees, assessment charges, package payments, and other approved payments.
- Generate receipts/invoices as per company procedure.
- Maintain accurate records of cash, UPI, bank transfers, card payments, and other payment modes.
- Reconcile daily collections and submit accurate closing reports.
- Ensure that cash balances and payment records match at the end of each working day.
- Immediately report any payment discrepancy or variation to the management.
- Follow up with parents regarding pending payments when instructed.
Administrative Responsibilities
- Maintain client registration details, consent forms, attendance records, payment records, and other administrative documentation.
- Support the Clinic Coordinator and management with routine documentation and administrative tasks.
- Maintain reception registers and required office records.
- Assist in printing, scanning, filing, photocopying, and organizing documents.
- Ensure confidentiality of client, child, parent, employee, and organizational information.
- Maintain proper communication between therapists, management, parents, and other departments.
Enquiry & Follow-Up Management
- Record all new enquiries accurately.
- Follow up with prospective parents regarding assessments, consultations, and therapy services.
- Coordinate with the assessment and clinical team for recent client appointments.
- Follow up with parents who have missed appointments or have not continued services, when instructed.
- Update enquiry status and conversion information regularly.
- Support management in basic outreach and follow-up activities where required.
Reception & Centre Maintenance
- Ensure the reception and waiting area remain clean, organized, and presentable.
- Coordinate with housekeeping and support staff regarding cleanliness and basic centre requirements.
- Monitor stationery and reception supplies and inform management when replenishment is required.
- Ensure brochures, forms, registers, and other reception materials are properly maintained.
- Ensure proper opening and closing procedures of the reception area are followed.
Daily Reporting & Closing
- Complete daily collection and payment reconciliation.
- Update appointment, attendance, enquiry, and payment records.
- Prepare and submit daily closing reports as required.
- Ensure all cash and financial records are properly handed over or secured before leaving.
- Inform the reporting manager about any unresolved parent concerns, payment issues, scheduling conflicts, or operational issues.
Required Skills
- Good verbal and written communication skills.
- Professional telephone and WhatsApp communication.
- Basic computer knowledge, including MS Word, Excel, email, and online systems.
- Good organizational and multitasking abilities.
- Accuracy in cash handling and record keeping.
- Ability to communicate politely and confidently with parents.
- Ability to work calmly in a busy clinical environment.
- Good coordination and problem-solving abilities.
- Responsible, punctual, disciplined, and trustworthy.
- Ability to maintain confidentiality.
Preferred Qualification
- Graduate or Diploma holder in any discipline.
- Previous experience in reception, front office, healthcare, hospital, clinic, therapy centre, school, or customer service is preferred.
- Candidates with experience handling billing, appointments, or parent/customer communication will be given preference.

- Accuracy of billing and cash handling.

- Accuracy of attendance and administrative records.
- Enquiry handling and conversion support.

- Punctuality, discipline, and attendance.
- Coordination with therapists and management.
- Professional behaviour and communication.
Professional Conduct The Receptionist is expected to maintain high standards of professionalism, confidentiality, integrity, and respectful communication at all times.
Any information regarding children, parents, therapy plans, employee matters, payments, or internal company operations must be treated as confidential and should not be disclosed to unauthorized persons.
The employee must follow all policies, SOPs, administrative procedures, child protection guidelines, and instructions issued by Orange Child Development Centre management.
