About the Role

We are looking for a Vendor Relationship & Purchase Operations Manager to manage the complete vendor lifecycle—from purchase order placement and delivery coordination to QC, invoice verification, reconciliation, and payment settlement.

The role will work closely with Purchase, QC, Warehouse, Accounts, Design/Production, and Senior Management to ensure accuracy, timely execution, strong vendor relationships, and smooth procurement operations.

Key Responsibilities

Vendor Management

- Manage vendor relationships, purchase orders, follow-ups, delays, disputes, and escalations.
- Coordinate vendor onboarding and maintain accurate vendor master data.
- Review vendor agreements, commercial terms, policies, and SLAs.
- Negotiate and resolve vendor-related issues.

QC & Inventory Coordination

- Track POs and ensure timely receipt of goods/raw materials.
- Verify invoices against POs and goods receipts.
- Coordinate QC, repairs, rework, returns, and rejections with vendors.
- Maintain complete product-wise purchase records for every item/SKU.
- Build searchable purchase history and rate history for cost tracking and audits.

Finance & Costing

- Maintain vendor ledgers and accounts payable records with high accuracy.
- Reconcile vendor statements with ERP and payment records.
- Coordinate with Finance & Accounts for payments, adjustments, debit/credit notes, and settlements.
- Prepare PO-wise cost sheets covering landed cost, making charges, wastage, GST, and vendor margins.
- Compare quoted, approved, and final invoiced prices and highlight variances.

MIS, Reporting & Process Improvement

- Analyse vendor performance, product ageing, inventory movement, returns, rejections, and rework.
- Identify slow-moving/obsolete inventory and support appropriate action.
- Prepare vendor-wise, product-wise, cost-wise, and department-wise MIS reports.
- Maintain vendor performance scorecards.
- Map and streamline the PO-to-payment process across departments.
- Identify process gaps and improve inter-departmental coordination.
- Present cost workings, price variances,



and recommendations to senior management.

What We're Looking For ? Education: Bachelor's degree in Commerce, Finance, or equivalent

? Experience: 3–4 years in Vendor Management, Purchase Operations, Accounts Payable, or Supply Chain

? Industry Knowledge: Working knowledge of Polki, Diamonds, Gemstones, Jewellery Manufacturing & Semi-Finished Goods – Essential

? Technical Skills: ERP systems, Advanced Excel (VLOOKUP, Pivot Tables), Google Sheets & MS Office

Desired Skills

- Robust vendor relationship and communication skills
- Excellent attention to detail and reconciliation accuracy
- Strong analytical and problem-solving abilities
- Process-oriented approach with the ability to identify gaps
- Ability to manage multiple stakeholders and deadlines
- Ability to work independently and escalate matters strategically
- Experience in B2B/B2C retail or e-commerce will be an advantage
- Comfortable presenting data and recommendations to senior management
