Marketing Specialist - Electrophysiology

Role Overview The Marketing Specialist will coordinate and execute day-to-day marketing activities for the Electrophysiology business, translating marketing plans into timely, compliant, and high-quality deliverables.

The role will own campaign and content coordination, educational-program execution, agency and vendor management, marketing operations, budget tracking, data reporting, and documentation across offline and digital channels.

Working closely with Marketing, Sales, Clinical, Medical Affairs, Regulatory, Legal, Finance, Procurement, and external partners, the candidate will maintain execution discipline, brand consistency, stakeholder alignment, and closure of agreed actions.

Key Responsibilities

Marketing Planning, Operations & Coordination

- Coordinate the day-to-day execution of approved marketing plans, campaigns, product launches, educational initiatives, and internal communications.
- Build and maintain annual and monthly marketing calendars, campaign workbacks, activity trackers, risk logs, and project timelines.
- Serve as the coordination point for Marketing, Sales, Clinical, Medical Affairs, Regulatory, Legal, Finance, Procurement, agencies, and vendors.
- Track dependencies, escalate execution risks early, and drive agreed actions to closure within approved timelines and budgets.
- Manage marketing requests, briefs, approval status, asset versions, distribution readiness, and activity closure documentation.
- Identify process gaps and recommend practical improvements to increase execution speed, visibility, and accountability.

Campaigns, Product Launches & Market Development

- Coordinate with vendors for timely follow-ups and revisions based on the briefs provided to them.
- Coordinate campaign assets and activation across email, digital,field communication, conferences, workshops, and physician-education programs.
- Support new-product introductions through launch trackers, asset readiness, internal communication, field enablement materials, and post-launch performance updates.
- Collate market, customer, competitor, event, and channel inputs and convert them into structured summaries and actionable marketing recommendations.
- Conduct post-activity reviews, document lessons learned, and recommend improvements for future campaigns and programs.

Content, Brand & Promotional Compliance
- Proofread, and coordinate for invitations, flyers, presentations, social-media content, internal communications, videos, and field-facing materials.




- Maintain a controlled library of approved assets, source files, claims, references, image permissions, expiry dates, and version history.
- Ensure materials follow approved brand standards, intended-use requirements, review workflows, and applicable healthcare-compliance processes before release.

Educational Programs, Events & Stakeholder Engagement
- Coordinate for CMEs, webinars, workshops, roadshows, congress activities, physician programs, and internal marketing meetings from planning through closure.
- Maintain agendas, invitations, registrations, participant lists, faculty requirements, venue and vendor coordination, materials, and run-of-show documents.
- Track approvals, documentation, attendance, feedback, photographs, expenses, and post-event reports for timely and complete closure.
- Maintain a forward calendar of conferences, scientific programs, launch milestones, and key customer-engagement opportunities.

Data, Insights & Performance Reporting
- Maintain accurate marketing databases, customer and stakeholder lists, event records, campaign data, activity trackers, and documentation repositories.
- Prepare monthly and quarterly dashboards covering activity status, campaign performance, event outcomes, budget status, risks, and next actions.
- Consolidate quantitative and qualitative feedback and highlight trends, gaps, and opportunities for marketing decision-making.
- Ensure data quality, confidentiality, appropriate access, and timely correction of inaccurate or incomplete records.

Budget, Vendor & Marketing Administration

- Track approved marketing budgets, purchase orders, invoices, commitments, accrual inputs, and spend against plan.
- Coordinate vendor onboarding, estimates, scopes, timelines, deliverable acceptance, and payment documentation.
- Maintain inventory and dispatch records for approved marketing materials and flag replenishment or obsolescence risks.
- Prepare meeting agendas, minutes, action trackers, and concise status updates for routine marketing governance.

Electrophysiology Knowledge The candidate will develop a BASIC working understanding of the Electrophysiology market, customer pathway,



and core therapies and technologies, including atrial fibrillation, ablation, pulsed field ablation, and 3D mapping. Prior technical knowledge is advantageous but not mandatory; curiosity, learning agility, and the ability to communicate accurately in a regulated healthcare category are essential.

Key Skills & Competencies

- Strong project coordination, prioritization, organization, and follow-through across multiple workstreams.
- Transparent written and verbal communication with strong proofreading, documentation, and presentation skills.
- Working proficiency in PowerPoint, Excel, and Word; familiarity with Canva, marketing automation, analytics, CRM, or content-management tools is advantageous.
- Basic understanding of campaign execution, digital channels, social media, event marketing, and performance metrics.
- High attention to detail, data accuracy, brand consistency, confidentiality, and compliance discipline.
- Ability to work independently, solve routine execution issues, manage agencies and vendors, and escalate risks appropriately.
- Proactive, dependable, adaptable, and comfortable operating in a fast-paced, cross-functional environment.

Preferred Qualifications
- Bachelor s degree in Marketing, Business Administration, Communications, Life Sciences, or a related field.
- 1-3 years of experience in marketing coordination, campaign execution, digital marketing, events, healthcare, medical devices, pharmaceuticals, or a comparable regulated industry.
- Demonstrated experience managing timelines, stakeholders, content assets, reporting, or vendor deliverables is preferred.
- Experience with digital platforms, design tools, CRM, analytics, marketing automation, or event-management systems would be an advantage.

- On-time delivery of campaigns, events, assets, reports, and assigned actions.
- Accuracy and completeness of trackers, databases, budgets, approvals, and closure documentation.
- Campaign and program performance against agreed reach, engagement, attendance, or adoption indicators.
- Stakeholder responsiveness, agency and vendor discipline, brand consistency, and compliance readiness.
- Quality of insights, risk escalation, process improvements, and execution recommendations.
