Position Overview The Head – Purchase &

- Accounts will be responsible for managing and controlling the organization’s procurement, vendor management, commercial, accounts, finance coordination, statutory compliance, and financial controls. The role will ensure timely procurement of materials at optimum cost while maintaining proper accounting, cash-flow discipline, and internal controls.

1. Purchase &
- Procurement Responsibilities

- Develop and implement effective purchase and procurement strategies.

- Identify, evaluate, negotiate, and finalize vendors based on quality, price, delivery, and reliability.

- Obtain and compare quotations and ensure competitive pricing.

- Negotiate rates, payment terms, credit periods, delivery schedules, and other commercial terms.

- Ensure timely procurement of raw materials, consumables, spare parts, tools, services, and other requirements.

- Review purchase requisitions and purchase orders before approval/processing.

- Monitor open purchase orders and ensure timely delivery as per production requirements.

- Coordinate with Production, PPC, Quality, Stores, Maintenance, and Management for material requirements.

- Develop alternate sources for critical and high-value materials.

- Maintain proper vendor records, agreements, rate contracts, and commercial documentation.

- Conduct periodic vendor performance evaluations.

- Control procurement costs and identify opportunities for cost reduction.

- Ensure proper purchase documentation and authorization as per company policy.

1. Accounts &
- Finance Responsibilities

- Supervise day-to-day accounting activities and ensure accurate and timely accounting entries.

- Monitor accounts payable and receivable, vendor payments, customer collections, and outstanding balances.

- Review purchase invoices, bills, debit/credit notes, and supporting documents.

- Ensure proper matching of Purchase Order, GRN, and Invoice before payment processing.

- Monitor cash flow and prepare cash-flow requirements for Management.

- Coordinate with banks regarding payments, receipts, fund transfers, and other banking activities.

- Monitor bank reconciliation and ensure timely resolution of discrepancies.

- Review monthly and annual financial statements and MIS reports.





- Monitor expenses against approved budgets.

- Ensure proper maintenance of ledgers, vouchers, books of accounts, and financial records.

- Coordinate with auditors for statutory, internal, tax, and financial audits.

1. Tax &
- Statutory Compliance

- Ensure timely compliance with applicable GST, TDS, Income Tax, PF/ESI and other statutory requirements, as applicable to the organization.

- Coordinate with tax consultants and statutory auditors.

- Review GST-related purchase and input-credit records.

- Ensure timely filing of applicable returns and payment of statutory liabilities.

- Maintain proper documentation for tax assessments and audits.

- Monitor changes in applicable taxation and accounting requirements and coordinate implementation.

1. Inventory &
- Commercial Control

- Coordinate with Stores to monitor inventory levels and material availability.

- Control excess, slow-moving, and obsolete inventory.

- Monitor material consumption and procurement trends.

- Ensure proper documentation for material receipts, purchases, returns, and adjustments.

- Review stock reconciliation and inventory valuation.

- Support Management in working-capital and inventory-cost control.

1. Vendor &
- Payment Management

- Establish transparent vendor selection and evaluation procedures.

- Review vendor outstanding statements and payment priorities.

- Negotiate payment terms to optimize working capital.

- Resolve vendor payment, billing, quality, quantity, and delivery-related disputes.

- Maintain professional relationships with key suppliers and service providers.

1. MIS &
- Management Reporting

Prepare and submit regular reports to Management, including:

- Purchase status and pending Purchase Orders.

- Material procurement and price comparison.

- Vendor outstanding and payment schedules.

- Customer receivables and ageing.

- Cash-flow position and fund requirements.





- Purchase cost and cost-saving initiatives.

- Inventory and working-capital position.

- Monthly financial and commercial MIS.

- Budget versus actual expenditure.

1. Internal Controls &
- Audit

- Establish and maintain solid financial and procurement controls.

- Ensure segregation of duties and proper approval procedures.

- Prevent unauthorized purchases and payments.

- Review procurement and accounting processes for efficiency and compliance.

- Ensure proper documentation for all financial and commercial transactions.

- Coordinate and close audit observations within agreed timelines.

1. Team Management

- Lead and supervise the Purchase and Accounts teams.

- Allocate responsibilities and monitor team performance.

- Train team members on procurement, accounting, ERP, compliance, and company procedures.

- Set departmental targets and conduct periodic performance reviews.

- Ensure coordination between Purchase, Accounts, Stores, Production, PPC, and Management.

1. ERP &
- Process Management

- Ensure accurate and timely transaction entries in the ERP system.

- Monitor Purchase Orders, GRNs, invoices, payments, and accounting transactions.

- Improve automation and system controls wherever possible.

- Develop and implement SOPs for Purchase and Accounts processes.

- Maintain proper digital and physical records.

1. Management Support

- Provide Management with accurate commercial and financial information for decision-making.

- Advise Management on procurement costs, vendor terms, working capital, payment priorities, and financial implications.

- Support annual budgeting and business planning.

- Identify financial and commercial risks and recommend appropriate controls.

- Undertake any other duties assigned by the Management.

Key Performance Indicators (KPIs)

- Purchase cost savings.

- Timely availability of materials.

- Vendor performance and development.

- Reduction in purchase lead time.

- Inventory and working-capital control.

- Timely vendor payments and customer collections.

- Accuracy of accounts and MIS.

- Timely statutory compliance.

- Audit observations and closure.

- Budget adherence.

- Process efficiency and ERP accuracy.

Pay: ₹50,000.00 - ₹65,000.00 per month
