About the Role

We are looking for a practical, organised and responsible Purchase & Stores Executive to manage material purchasing, inventory and factory stores operations.

You will ensure that the required materials for sofas, beds, chairs and other furniture orders are available at the right time and in the right quantity.

The role involves working closely with the Factory In-Charge, Production Team and Accounts Team while maintaining accurate purchase and stock records through our existing Lark and ClickUp systems.

Key ResponsibilitiesPurchase & Material Planning

- Read approved material requirements for customer orders.
- Understand item codes, specifications, quantities and required dates.
- Check existing stock before raising purchase requirements.
- Check material already reserved for other orders.
- Identify shortages before they affect production.
- Place approved purchase orders with suppliers.
- Negotiate and compare supplier rates where authorised.
- Confirm supplier delivery dates and follow up until materials arrive.

Stores & Inventory
- Receive and physically verify incoming materials.
- Match material received against purchase orders and delivery challans.
- Record shortages, excess quantities and damaged materials.
- Maintain accurate stock records for plywood, foam, fabric, hardware, mechanisms, legs, accessories and other materials.
- Record material issues to workers and returns on the same day.
- Maintain proper labels, racks and order-specific material bundles.
- Conduct regular physical stock checks.
- Report stock differences immediately.

Vendor Follow-Up
- Follow up with suppliers regularly regarding pending materials.
- Get transparent dispatch and delivery commitments.
- Track delayed purchases and escalate them early.
- Coordinate transport where required.




- Never assume that “tomorrow” means confirmed delivery—obtain a specific commitment.

Bills & Documentation
- Collect purchase invoices and delivery challans.
- Upload bills promptly.
- Hand over documents to Accounts and obtain acknowledgement.
- Follow up for missing invoices, GST details or supplier credits.
- Keep the open purchase list updated.

Production Coordination
- Understand which materials are required for each order.
- Coordinate with the Factory In-Charge regarding upcoming material requirements.
- Escalate any material shortage that can delay production.
- Maintain clear communication regarding expected delivery dates.

Reporting

Reports to: Factory In-Charge

Works closely with

- Factory In-Charge
- Accountant
- Production Team
- Suppliers/Vendors

Purchases above the assigned limit, new vendors, material substitutions, rate exceptions and stock write-offs require approval.

Requirements

- 2–5 years of experience in purchase, stores, warehouse or manufacturing.
- Experience in furniture manufacturing is preferred.
- Experience with plywood, hardware, upholstery materials, foam, fabrics or furniture accessories is an advantage.
- Good understanding of quantities and units.
- Comfortable using basic Excel/Google Sheets.
- Able to maintain accurate records.
- Strong vendor follow-up skills.
- Telugu communication is preferred.
- Ability to communicate practically with Hindi-speaking workers is an advantage.
- Basic English reading ability required for product/material details.
- Degree is not mandatory if the candidate has strong practical experience.

Candidates will undergo a practical purchase and inventory exercise.

Salary and working hours: To be discussed based on experience and practical ability.

Important: This is a full-time, on-site factory role. Regular attendance and availability during factory operating hours are essential.

Pay: ₹15,000.00 - ₹35,000.00 per month
