About the Role

Kashmir Loom is looking for a proactive and well-organised Administrative Executive to own our day-to-day office operations and HR function. This role is best suited to someone who is detail-oriented, dependable, and at ease juggling several moving parts at once.

Key Responsibilities1. Office Operations & Administration

- Oversee the smooth day-to-day functioning of the office, including housekeeping, utilities, repairs, maintenance, and vendor coordination.
- Manage the procurement and upkeep of stationery, pantry supplies, and general office consumables; monitor usage and ensure timely replenishment.
- Manage Annual Maintenance Contracts (AMCs) for office equipment and ensure timely renewals.
- Track and renew software subscriptions to ensure there are no interruptions in service.
- Coordinate with vendors, service providers, building management, and courier partners as required.
- Coordinate with courier and logistics partners for pickups, deliveries, tracking, and resolution of shipment-related issues when required.
- Manage petty cash, including maintaining the float, processing reimbursements, recording expenses, and coordinating regular reconciliation with Accounts.
- Manage calendars, schedule meetings, and coordinate appointments and other administrative requirements.

1. Travel & Logistics

Own business travel end-to-end,



with complete and proactive management and no loose ends.

- Research and book flights, comparing options across agents and platforms to secure the most suitable fares.
- Research and book hotels based on the brief, location, and budget; manage changes and cancellations when required.
- Prepare detailed travel itineraries covering flights, accommodation, ground transportation, and key contact details.
- Ensure all travel documentation — including tickets, boarding passes, hotel confirmations, visas, and other relevant documents — is complete and shared with travellers well in advance.
- Proactively coordinate web check-ins and seat selections.
- Arrange airport transfers, cabs, and other ground logistics at the destination.
- Act as the point of contact for travel-related issues or disruptions and resolve them promptly.
- Arrange refreshments, hospitality, and other logistical requirements for internal meetings, client visits, and group sessions.

1. Human Resources

- Maintain accurate daily attendance records and flag patterns or anomalies for management review.
- Prepare and maintain leave reports, including utilised and outstanding leave balances across the team.
- Prepare reports on short working hours and overtime.
- Schedule interviews with shortlisted candidates and coordinate interview logistics with hiring managers.




- Maintain accurate and up-to-date employee records and HR documentation, ensuring complete confidentiality.
- Prepare offer letters, appointment letters, employment contracts, and other employee-related documentation.

What We're Looking For
- Bachelor's degree in any discipline; a qualification in HR or Business Administration is an advantage.
- 0–2 years of experience in administration, office management, or an EA/PA role.
- Strong command of MS Office, particularly Excel, Word, and Outlook. Familiarity with HR or leave-management tools is an advantage.
- Strong attention to detail, with an ability to identify opportunities for cost optimisation and negotiate confidently with vendors.
- Highly organised, with the ability to manage multiple priorities simultaneously without compromising accuracy.
- Excellent written and verbal communication skills in English and Hindi.
- High discretion and integrity, particularly when handling confidential information and founder communications.
- A proactive, service-oriented mindset, with the ability to anticipate requirements and take ownership without needing to be asked twice.
