2. Job Objective To manage the company's day-to-day accounting and financial operations, ensure accurate and timely accounting of project and corporate transactions, maintain statutory compliance, monitor receivables and payables, and provide reliable financial and management information to the management.
The role will have specific responsibility for project-wise accounting, revenue and cost tracking, GST and TDS compliance, customer collections, vendor payments, bank reconciliation and monthly financial reporting.
3. Key Responsibilities
A. General Accounting
1. Maintain day-to-day accounting activities and ensure accurate recording of all financial transactions.
2. Ensure proper classification of expenses, assets, liabilities, revenue and project costs.
3. Maintain proper accounting records and supporting documentation.
4. Ensure timely closure of monthly and annual books of accounts.
5. Review ledgers and identify unusual, old or unreconciled balances.
6. Ensure proper accounting of inter-company and related-party transactions.
7. Maintain proper documentation for audit and management review.
4. Real Estate / Project Accounting
1. Maintain project-wise accounting records for each real estate project.
2. Track project expenditure under appropriate heads such as:
- Land cost
- Development charges
- Construction cost
- Contractor expenses
- Architect/consultancy fees
- Legal and professional charges
- Approval and statutory charges
- Finance cost
- Marketing and brokerage
- Site expenses
1. Monitor project-wise budget versus actual expenditure.
2. Reconcile project cost records with the General Ledger.
3. Review capitalisation of project-related expenditure wherever applicable.
4. Monitor advances paid to contractors, suppliers and other project vendors.
5. Ensure timely adjustment of advances against bills.
6. Maintain project-wise schedules for land, development rights and other project-related assets.
7. Assist management in determining project profitability and cost-to-completion.
8. Coordinate with project/site teams for verification and accounting of project expenses.
9. Review work-in-progress and inventory balances on a periodic basis.
10. Identify abnormal or non-project expenditure booked under project cost.
5. Customer Accounting & Receivables
1. Maintain customer-wise accounts and receivable schedules.
2. Record booking advances, instalments, cancellations, refunds and other customer transactions.
3. Reconcile customer ledgers with CRM/sales records.
4. Monitor instalments due from customers.
5. Prepare ageing analysis of customer receivables.
6. Coordinate with the sales/collection team for recovery of outstanding amounts.
7. Verify receipts received from customers and ensure timely accounting.
8. Monitor overdue receivables and provide periodic reports to management.
9. Review customer advances and outstanding balances.
10. Ensure proper accounting of cancellation charges, forfeitures, discounts and refunds.
11. Assist in reconciliation of customer balances before possession/registration.
6. Vendor & Payables Management
1. Maintain vendor-wise accounts and payable schedules.
2. Verify invoices before processing payments.
3. Ensure appropriate TDS and GST treatment on vendor invoices.
4.
Review vendor advances and ensure timely adjustment.
5. Prepare vendor ageing reports.
6. Reconcile vendor balances periodically.
7. Identify long-outstanding and disputed vendor balances.
8. Coordinate with project and procurement teams regarding vendor payments.
9. Ensure payments are made as per approved payment schedules.
10. Maintain proper supporting documents for all payments.
7. GST Compliance
1. Review GST applicability on sales, purchases, services and other transactions.
2. Verify GST accounting in books of accounts.
3. Review preparation and filing of:
- GSTR-1
- GSTR-3B
- Other applicable GST returns/statements
1. Reconcile GSTR-1 with books of accounts.
2. Reconcile GSTR-3B with books and GSTR-1.
3. Review purchase ITC with GSTR-2B.
4. Monitor blocked/ineligible ITC.
5. Verify RCM transactions and payment of applicable GST.
6. Monitor GST on advances, cancellations, credit notes and other real-estate-specific transactions.
7. Coordinate with consultants for GST notices, if any assessments and departmental correspondence.
8. Maintain GST reconciliation working papers and supporting records.
9. Monitor project-wise GST credits and liabilities where applicable.
8. TDS & Other Tax Compliance
1. Ensure correct deduction of TDS on:
- Contractors
- Professional fees
- Rent
- Interest
- Commission/brokerage
- Other applicable payments
1. Review monthly TDS workings and challans.
2. Coordinate preparation and filing of quarterly TDS returns.
3. Review Form 16/16A issuance.
4. Reconcile TDS payable ledgers with TRACES.
5. Monitor TDS defaults, interest and other outstanding liabilities.
6. Assist in responding to TDS notices.
7. Coordinate with tax consultants for income-tax compliance.
8. Assist in preparation of advance-tax workings.
9. Maintain tax-compliance calendars and ensure timely statutory payments.
9. Bank & Treasury Management
1. Maintain and review bank accounts.
2. Ensure timely bank reconciliation.
3. Investigate and clear unreconciled bank entries.
4. Monitor daily bank balances and cash flows.
5. Prepare payment schedules based on management approvals.
6. Monitor customer collections and vendor payments.
7. Assist in preparation of short-term cash-flow forecasts.
8. Monitor loan/borrowing accounts and interest payments.
9. Reconcile loan balances with lender statements.
10. Ensure proper accounting of interest and bank charges.
10. Monthly Closing & MIS
1. Coordinate monthly closing of books.
2. Prepare/review:
- Trial Balance
- Profit & Loss Account
- Balance Sheet schedules
- Cash Flow information
- Receivable ageing
- Payable ageing
- Project cost reports
- Customer collection reports
- Bank reconciliation
- GST reconciliation
- TDS reconciliation
1. Prepare monthly MIS for management.
2. Analyse project-wise income, cost and profitability.
3. Report significant variances against budget.
4. Highlight unusual transactions and accounting discrepancies to the Finance Head/CFO.
5. Prepare management reports on cash flow, collections and outstanding payments.
11. Financial Reporting & Audit
1. Assist in preparation of financial statements in accordance with applicable accounting standards.
2. Prepare schedules and supporting documents for statutory audit.
3. Coordinate with statutory auditors, internal auditors and tax auditors.
4.
Provide audit information and explanations within agreed timelines.
5. Ensure audit queries are tracked and resolved.
6. Assist in preparation of notes, schedules and disclosures relating to financial statements.
7. Maintain proper audit trail and supporting documentation.
8. Ensure timely closure of audit observations.
12. Compliance & Internal Controls
1. Ensure adherence to the company's accounting policies and internal controls.
2. Review maker-checker controls for accounting and payments.
3. Ensure appropriate approval for expenses and payments.
4. Monitor delegation of authority limits.
5. Identify weaknesses in accounting processes and recommend improvements.
6. Ensure proper segregation of duties within the accounts function.
7. Maintain statutory records and compliance trackers.
8. Monitor compliance with applicable requirements under Companies Act, GST, Income-tax/TDS and other relevant laws.
13. Team Management
1. Establish review mechanisms for accounting accuracy.

17. Ideal Candidate Profile The ideal candidate should have strong accounting fundamentals combined with practical exposure to real-estate/project accounting. The candidate should be capable of independently managing the company's accounting function, statutory compliance coordination, project-cost accounting, receivables/payables and monthly MIS, while providing timely and accurate financial information to management. The position requires a hands-on Accounts Manager, rather than a person limited to bookkeeping, with the ability to identify accounting discrepancies, control financial leakages and improve accounting processes.
