Position: Warehouse Executive

Location: Kattappana, Idukki

Reporting To: Management / MD

Job Purpose The Warehouse Executive is responsible for the complete management, allocation, tracking, maintenance, and timely movement of company tools and machinery to all project sites.

The role requires strong control over company assets, accurate tool records, proper site allocation, transportation planning, cost reduction, and continuous updating of the tool tracker.

Key Responsibilities1. Tools & Machinery Management

- Maintain and control all company-owned tools, machinery, and equipment.
- Ensure proper arrangement, storage, identification, and maintenance of tools.
- Maintain accurate records of available, issued, returned, damaged, and under-maintenance tools.
- Ensure company tools and machinery are used responsibly and efficiently.
- Monitor the condition and usability of tools and machinery.

1. Site Tool Requirements & Allocation

- Collect and verify tool and machinery requirements from all project sites.
- Coordinate with Site Engineers regarding current and upcoming requirements.
- Arrange and allocate the required tools accurately and on time.
- Ensure the correct tool, quantity, and equipment are sent to the required site.
- Follow up to ensure all site requirements are completed on time.

1. Tool Tracking & Records

- Maintain and regularly update the Tool Tracker / Racker.
- Record every tool movement, including:
- Inward
- Outward
- Site transfer
- Return
- Damage
- Repair
- Replacement
- Maintain accurate information on the current location and status of every company tool.
- Ensure tracker information matches the actual physical stock.




- Provide an accurate Tool Availability Report whenever required.

1. Transportation & Cost Control

- Plan transportation of tools and machinery between the warehouse and project sites.
- Coordinate transportation using company vehicles whenever available.
- Combine multiple tool movements where possible to reduce unnecessary trips.
- Optimize transportation routes and schedules to reduce transportation costs.
- Ensure tools reach the required site within the planned time.
- Avoid unnecessary vehicle usage and transportation expenses.

1. Site-to-Site Tool Shifting

- Coordinate tool and machinery transfers between project sites.
- Verify the tools before dispatch and after receiving.
- Maintain proper transfer records for every movement.
- Confirm receipt of tools with the concerned Site Engineer.
- Follow up on tools that are not returned or transferred as scheduled.

1. Inventory & Physical Verification

- Maintain an accurate inventory of all company tools and machinery.
- Conduct regular physical stock verification.
- Match physical stock with the Tool Tracker.
- Immediately report missing, damaged, or unserviceable tools to management.
- Identify tools that require repair, replacement, or maintenance.
- Maintain proper records for future purchasing and planning.

1. Reporting

Prepare and provide accurate reports such as:
- Daily Tool Movement Report
- Tool Availability Report
- Site-wise Tool Report
- Missing / Damaged Tool Report




- Tool Transfer Report
- Tool Maintenance Report
- Monthly Tool Inventory Report
- Transportation / Tool Movement Cost Report

Key Performance Requirements (KPIs)
- 100% accurate tool and machinery records
- Real-time / regular Tool Tracker updates
- Timely allocation of tools to project sites
- Minimum tool loss and damage
- Accurate site-wise tool availability
- Proper tool return and transfer control
- Effective transportation planning
- Reduction of unnecessary transportation costs
- Proper maintenance and utilization of company assets
- Accurate and timely reporting

Required Skills & Qualifications
- Diploma / Degree or relevant experience in Warehouse, Inventory, Logistics, or related field.
- Experience in tool, machinery, construction material, or equipment management is preferred.
- Good knowledge of inventory and warehouse management.
- Good knowledge of MS Excel and computer applications.
- Strong organizational and coordination skills.
- Valuable communication skills.
- Ability to maintain accurate records and reports.
- Ability to coordinate with multiple project sites.
- Good problem-solving and follow-up skills.
- Strong attention to detail.
- Ability to work under time pressure and meet deadlines.

Core Responsibility The Warehouse Executive must ensure: RIGHT TOOL → RIGHT SITE → RIGHT QUANTITY → RIGHT TIME → RIGHT RECORD → MINIMUM COST The employee will be responsible for maintaining accurate control and accountability of all company tools and machinery, from warehouse allocation through site usage, transfer, return, and final storage.
