1. Job Purpose

The HVAC Project Manager will be responsible for planning, coordinating, executing, monitoring, and successfully completing HVAC projects within the approved time, cost, quality, and safety parameters. The role requires effective coordination between clients, consultants, design teams, procurement, vendors, site engineers, contractors, and internal management.

1. Key ResponsibilitiesA. Project Planning & Execution

- Plan and execute HVAC projects from project award to final handover.
- Prepare project execution plans, schedules, manpower plans, and resource requirements.
- Monitor project progress against approved timelines and milestones.
- Ensure timely completion of all project activities.
- Identify project risks, delays, and technical issues and take corrective actions.
- Coordinate with site teams to ensure smooth project execution.

B. HVAC Technical Coordination
- Review HVAC drawings, BOQs, specifications, and project requirements.
- Coordinate with design and engineering teams for shop drawings and technical submissions.
- Ensure proper installation of HVAC systems as per approved drawings and specifications.
- Coordinate installation and commissioning of equipment such as:
- AHU / FAHU
- FCU
- Chillers
- VRF / VRV Systems
- Pumps
- Cooling Towers
- Ducting
- Chilled Water Piping
- Ventilation & Exhaust Systems
- BMS / Controls
- Resolve technical issues arising during execution.

C. Client & Consultant Coordination
- Act as the primary project-level coordination point with clients and consultants.
- Attend project meetings and provide project status updates.
- Coordinate approvals, inspections, material submissions, and technical clarifications.
- Maintain professional relationships with clients, consultants, and project stakeholders.
- Address client concerns and ensure timely resolution.

D. Procurement & Vendor Coordination




- Coordinate with the procurement team for timely material and equipment availability.
- Review material requirements based on project schedules.
- Coordinate with suppliers and vendors regarding delivery schedules.
- Monitor material quality and ensure compliance with approved specifications.
- Follow up on long-lead HVAC equipment and materials.

E. Cost & Commercial Management
- Monitor project costs against the approved budget.
- Control wastage, rework, and unnecessary project expenses.
- Coordinate with the commercial/billing team for RA bills and client billing.
- Review additional works, variations, and extra-item requirements.
- Support the team in preparing variation claims and change orders.
- Monitor subcontractor work and commercial performance.

F. Site Team Management
- Lead and manage HVAC site engineers, supervisors, technicians, and subcontractors.
- Allocate manpower and resources according to project requirements.
- Monitor productivity and work quality.
- Conduct regular site reviews and progress meetings.
- Ensure proper coordination between HVAC, electrical, civil, plumbing, fire-fighting, and other services.

G. Quality & Safety
- Ensure HVAC installation is carried out as per approved drawings, specifications, and applicable standards.
- Ensure proper inspection and testing of HVAC works.
- Coordinate QA/QC inspections and documentation.
- Ensure compliance with company and project safety requirements.
- Promote safe working practices at the project site.
- Minimize defects, rework, and quality complaints.

H. Testing, Commissioning & Handover
- Plan and coordinate testing and commissioning activities.
- Ensure proper balancing and performance testing of HVAC systems.
- Coordinate final inspections with clients and consultants.




- Ensure completion of punch points/snags.
- Prepare and coordinate submission of:
- As-built drawings
- Test reports
- O&M; manuals
- Warranty documents
- Commissioning reports
- Handover documents
- Ensure smooth project handover to the client.

1. Project Monitoring & Reporting

The Project Manager shall regularly monitor and report:
- Project completion percentage
- Planned vs. actual progress
- Material availability
- Manpower deployment
- Project cost
- Billing and collection status
- Procurement status
- Quality issues
- Safety observations
- Client/consultant concerns
- Project risks and delays
- Pending approvals
- Variation/additional work status

1. Required Skills

- Solid knowledge of HVAC systems and installation practices.
- Project planning and execution skills.
- Good knowledge of HVAC drawings, BOQs, specifications, and technical documentation.
- Strong leadership and team-management skills.
- Good communication and client-handling skills.
- Problem-solving and decision-making ability.
- Knowledge of project scheduling and monitoring.
- Good knowledge of MS Excel and MS Office.
- Knowledge of AutoCAD is preferred.
- Knowledge of project management software such as MS Project/Primavera is an advantage.
- Strong negotiation and coordination skills.

1. Educational Qualification

Required:

- Diploma / B.E. / B.Tech in Mechanical Engineering.
- Specialization or experience in HVAC is preferred.

1. Experience

- 2–7years of relevant experience in HVAC project execution/project management.
- Experience in commercial buildings, industrial projects, hospitals, hotels, malls, offices, or large-scale HVAC projects will be preferred.
