Personal Assistant (PA) – :
Key Responsibilities
- Manage the day-to-day schedule and calendar of the talent, including meetings, shoots, events, appointments, and personal commitments.
- Coordinate and manage skilled and personal appointments, ensuring timely reminders and smooth scheduling.
- Coordinate with internal teams, production houses, agencies, PR teams, brands, and other external stakeholders.
- Manage emails, calls, messages, follow-ups, and confidential communication on behalf of the talent.
- Coordinate travel arrangements, including flights, hotels, transportation, itineraries, and other travel requirements.
- Assist with shoot, event, appearance, and brand collaboration schedules, ensuring all arrangements are in place.
- Prepare meeting notes, track action points, and follow up on pending tasks and commitments.
- Coordinate and manage meetings, events, launches, celebrations, and professional engagements.
- Maintain and organize important documents, schedules, briefs, contracts, and other relevant information.
- Track professional expenses, reimbursements, bookings, and other assigned administrative requirements.
- Coordinate with drivers, assistants, stylists, production teams, and other support personnel as required.
- Handle last-minute changes, urgent requirements, and schedule adjustments efficiently.
- Assist the talent with personal requirements, appointments, vehicle coordination, travel, and other day-to-day needs.
- Support content schedules, brand collaborations, professional commitments, and project timelines.
- Coordinate with PR, creative, production, and management teams to ensure seamless execution of professional commitments.
- Maintain complete confidentiality and discretion regarding personal, professional, financial, and business-related information.
- Take ownership of assigned tasks and ensure timely completion and follow-up.
- Be available and flexible to manage dynamic schedules, changing priorities, and time-sensitive requirements.
Required Skills & Qualifications
- Proven experience as a Personal Assistant, Executive Assistant, Celebrity/Talent Assistant, Talent Manager, or in a similar role.
- Excellent organizational, coordination, and multitasking skills.
- Strong verbal and written communication skills.
- Ability to manage confidential and sensitive information with complete discretion.
- Strong follow-up and time-management skills.
- Ability to work independently and handle multiple priorities in a fast-paced environment.
- Comfortable managing dynamic schedules and last-minute changes.
- Tech-savvy and proficient with calendars, emails, travel booking platforms, MS Office, and Google Workspace.
- Strong interpersonal skills and the ability to coordinate effectively with multiple stakeholders.
- Willingness to work flexible hours as per the talent's schedule, including occasional evenings, weekends, and travel.
- Prior experience in the entertainment, media, influencer, fashion, luxury, or corporate sector will be an advantage.
- Education: Graduate or equivalent qualification.
Job Details
- Location: Okhla Phase 3, New Delhi
- Employment Type: Full-time
- Working Days: Monday to Saturday (6 days a week)
