About The Role

Office Beacon ASPL is seeking an experienced Part-Time Bookkeeper to join our finance and accounting department. The ideal candidate will support the day-to-day financial operations of a U.S.-based nonprofit organization, ensuring accurate recordkeeping and compliance with relevant accounting standards. This role is designed for a mid-level professional who possesses hands-on experience with QuickBooks Online and a strong understanding of nonprofit accounting practices, including managing accounts payable, accounts receivable, reconciliations, and expense reimbursements.

The successful candidate will work in a hybrid environment, primarily during Pacific Time hours, and will be responsible for maintaining precise financial records, preparing documentation for audits, and supporting month-end closing activities.

Qualifications To be considered for this position, candidates should possess prior professional experience as a bookkeeper or accounting specialist, with demonstrable expertise in QuickBooks Online.

Experience supporting U.S. 501(c)(3) nonprofit organizations is essential, along with a solid understanding of nonprofit financial processes such as accounts payable, receivable,



reconciliations, and expense reimbursements. Candidates should have experience supporting month-end closing activities and preparing documentation for audits. Knowledge of California nonprofit accounting and compliance requirements is preferred.

Strong communication skills in English, attention to detail, organizational skills, and the ability to work independently are critical for success in this role. Candidates must be available to work approximately 10:00 AM to 2:00 PM Pacific Time.

Responsibilities

Bookkeeping &

- Accounting Operations

- Manage daily accounts payable and accounts receivable activities, ensuring timely processing and accurate recording.
- Process and record expense reimbursements, ensuring compliance with organizational policies.
- Maintain and update financial records in QuickBooks Online, ensuring accuracy and completeness.
- Review transactions and account balances regularly to identify discrepancies or errors.
- Organize financial documentation and supporting records for easy access and audit readiness.

Reconciliations &

- Month-End

- Perform bank, credit card, and expense reconciliations to ensure consistency across records.
- Support month-end closing activities, including preparing necessary reports and documentation.
- Investigate and resolve discrepancies identified during reconciliations.
- Ensure all financial records are accurate, complete, and compliant with organizational standards.

Audit &

- Compliance Support





- Prepare and organize financial documentation required for audits and reviews.
- Assist in the audit process by providing supporting schedules and requested documentation.
- Support ongoing compliance with nonprofit regulations and state-specific tax requirements, particularly in California.
- Keep abreast of changes in nonprofit accounting standards and regulations to ensure ongoing compliance.

Communication &

- Coordination

- Maintain clear and professional communication with internal teams and external stakeholders regarding financial matters.
- Track recurring accounting tasks and ensure deadlines are consistently met.
- Work independently, escalating issues or discrepancies that require further review or managerial input.
