JOB DESCRIPTION

Executive Assistant to the President & CSMO

Position Title

Executive Assistant (EA) to the President & Chief Sales and Marketing Officer

Reports To

President & CSMO (single reporting line)

Base Location

Kolkata, Corporate Head Office (anchors HQ operations during principal's field travel)

Function / Band

Executive Office / Business Support (Senior Manager equivalent)

Experience Required

12+ years as EA to a Director / CXO in a large manufacturing organization (non-negotiable)

Span of Coordination

Interfaces with 10 direct reports of the CSMO, HODs, plant & regional sales leadership, and the MD's office

1. Purpose of the Role

SRMB Steel is scaling toward a ₹5,000 Cr turnover ambition, and the Office of the President & CSMO sits at the centre of that push. This office consolidates every sales, marketing, MIS and analytics stream while the CSMO spends much of the next twelve months in the field, driving the retail run across a digital-rich, multi-brand product architecture (core TMT, binding range, structural-retail brands and the project/institutional business).

The Executive Assistant is the operating spine of this office. Not a diary-keeper, but a trusted second brain: someone who runs the HQ cockpit when the principal is travelling, keeps information flowing without friction, turns raw data into decision-ready briefs, and protects the CSMO's time and focus with judgement and discretion. This is a career EA role for a seasoned professional who takes quiet pride in flawless execution.

2. Key Responsibilities

A. Executive Office & Time Management

- Calendar command: Own the CSMO's calendar end-to-end: prioritising, sequencing and defending time against competing demands from HODs, the MD's office, dealers, and external partners.
- Operating rhythm: Run the daily and weekly operating rhythm: pre-empt what the principal needs before each meeting, prepare the day's brief, and close the loop on every open action.
- HQ anchor: Act as the HQ anchor while the CSMO is in the field: a reliable point of contact who keeps the office moving, escalates only what matters, and never lets a commitment slip.

B. Communication & Gatekeeping

- First point of contact: Serve as the first point of contact for the office, screening calls, mail and requests with tact,

filtering noise, and routing the right matters to the right people.
- Correspondence: Draft, edit and dispatch correspondence, notes and communications on the CSMO's behalf in a crisp, qualified voice.
- Representation: Represent the office of the President with warmth and poise to internal teams, channel partners and senior external stakeholders.

C. Data, MIS & Digital Enablement

- MIS consolidation: Consolidate KRO / Sales-MIS streams from HODs into clean, single-source dashboards and review packs, and flag exceptions before they are asked for.
- Analytics partnership: Work hand-in-glove with the DGM-level Sales & Marketing Analytics / MIS SPOC to keep the CSMO decision-ready while he travels, acting as a data-fluent proxy for routine review of numbers.
- Excel & PPT: Build and maintain advanced Excel models (pivots, lookups, dynamic dashboards) and craft board- and review-grade PowerPoint decks that tell the story at a glance.
- Digital tools: Champion the digital toolkit of a digital-rich organisation (collaboration, task-tracking, CRM/DMS and reporting platforms) and keep the office's workflows paperless and audit-ready.

D. Travel, Field-Ops & Meeting Coordination

- Travel: Plan and orchestrate extensive domestic (and occasional international) travel, covering itineraries, logistics, market visits and dealer meets, with contingency built in.
- Governance: Coordinate reviews, town halls and leadership meetings: agendas, pre-reads, minutes, and rigorous action-tracking to closure.
- Administration: Manage expense reporting, approvals and documentation accurately and on time.

E. Confidentiality & Trust

- Discretion: Handle sensitive commercial, strategic and people-related information with absolute discretion. This role sees everything, and is trusted to hold it.

3. Must-Have Qualifications & Experience

- Experience:

Minimum 12 years of Executive Assistant experience supporting a Director / CXO / business-head, of which a substantial part in a large manufacturing organization.
- Education: Graduate (any discipline); a business, commerce or secretarial-practice qualification is an advantage.
- Context fit: Proven track record of running a high-tempo executive office where the principal travels heavily and the EA holds the fort.
- Domain: Comfort with the vocabulary and rhythm of sales, distribution, dealers and MIS in a manufacturing/building-materials setting.

4. Technical & Digital Proficiency

Skill on the tools is a threshold, not a bonus. The right candidate is genuinely strong here:

Skill Area Expectation

Microsoft Excel

Advanced: pivots, complex formulas, lookups, dynamic dashboards, data clean-up (must-have)

Microsoft PowerPoint

Advanced: builds review- and board-grade decks independently, clean visual storytelling (must-have)

MS Word & Outlook

Expert: formatting, mail-merge, calendar & inbox mastery

Collaboration & PM tools

Fluent in task/project trackers, shared drives, and video-conferencing platforms

Business systems

Working comfort with CRM / DMS / MIS reporting tools; quick to learn new platforms

AI & productivity tools

Willing and able to use modern AI assistants to draft, summaries and speed up the office

5. Competencies & Cultural Fit

This office runs on a specific temperament: humility paired with task-mastery. Humble in manner, relentless on execution, calm at pace. The EA must mirror that.

- Humility: Humble and grounded, leads with courtesy and service, ego-free, treats every colleague and partner with respect.
- Task-mastery: Owns outcomes, not just tasks; follows through to closure without being chased. Nothing falls through the cracks.
- Proactiveness & pace: Anticipates needs a step ahead, brings solutions rather than problems, and moves quickly without dropping quality.
- Communication: An outstanding communicator: clear, warm and precise in speech and writing, across every level from shop-floor to boardroom.
- Composure: Unflappable under pressure, adaptable, and dependable in ambiguity.
- Trust: Absolute integrity and confidentiality, the office's most trusted keeper of information.

Salary

As per the Industry Standard.
