1. ROLE PURPOSE
The Assistant Director – CDOE (Online Education) shall be responsible for the effective academic, operational and regulatory coordination of Online Degree Programmes offered by the University.
The position will focus exclusively on the Online Learning vertical and shall ensure smooth delivery of online programmes, academic quality, learner engagement, LMS operations, examinations, e-content development and compliance with applicable UGC regulations and University policies.
2. KEY RESPONSIBILITIES
A. Online Programme Management
Coordinate the day-to-day academic and operational functioning of all Online Degree Programmes.
Coordinate with concerned Faculties/Schools, Programme Coordinators, faculty members and CDOE teams.
Ensure implementation of the approved academic calendar for each online programme.
Monitor commencement and completion of courses as per the prescribed schedule.
Ensure timely conduct of live/interactive sessions, academic activities, assessments and examinations.
Maintain programme-wise academic and operational trackers.
Identify delays, deviations and operational gaps and ensure timely corrective action.
B. LMS & Digital Academic Delivery
Ensure that all online courses are properly created, mapped and activated on the Learning Management System (LMS).
Monitor uploading and availability of e-content, e-text, recorded lectures, presentations, reading material, assignments, quizzes and other learning resources.
Ensure that students have timely access to courses and learning resources.
Coordinate with the LMS/Data Management and technical teams for resolution of academic and student-related LMS issues.
Monitor faculty activity, student participation and course progress through LMS reports and analytics.
Ensure maintenance of appropriate digital records and evidence.
C. E-Content & Four-Quadrant Compliance
Coordinate development and timely completion of online course content.
Ensure academic content follows the prescribed Four-Quadrant Approach , wherever applicable:
E-Tutorial/Video Content
E-Content/Reading Material
Discussion Forum/Interactive Activities
Self-Assessment/Assessment
Coordinate with faculty, content development teams, instructional designers and production teams.
Monitor content quality, completeness and academic relevance before deployment.
Ensure periodic review and updating of online course content.
D. Faculty & Academic Coordination
Coordinate with Deans/HODs/Programme Coordinators for allocation of faculty for online courses.
Ensure faculty orientation regarding LMS usage and online teaching methodology.
Monitor adherence of faculty members to online teaching schedules.
Track completion of lectures, assessments, content uploads and evaluation.
Facilitate faculty training in online pedagogy, digital content creation and learner engagement.
Maintain faculty-wise and course-wise academic performance records.
E. Online Student Lifecycle Management
Coordinate and monitor the complete academic lifecycle of online learners, including:
Student onboarding and orientation
LMS activation
Course registration
Academic communication
Live class schedules
Access to learning material
Internal assessments
Examination coordination
Result-related coordination
Academic grievance resolution
Progression and completion
Ensure student queries are addressed within prescribed turnaround times.
F. Learner Engagement & Support
Monitor learner participation and engagement in online programmes.
Track attendance/participation in live and interactive sessions.
Identify inactive or academically at-risk learners through LMS analytics.
Coordinate appropriate interventions with Programme Coordinators and faculty.
Conduct/coordinate online orientation, mentoring and academic support sessions.
Monitor learner grievances and ensure their timely resolution.
Analyse student feedback and recommend improvements in programme delivery.
G. Assessment & Examination Coordination
Coordinate with the Controller of Examinations/Examination Cell for all matters related to Online Programme examinations.
Ensure timely scheduling and conduct of Continuous/Internal Assessments.
Monitor submission and uploading of internal assessment marks.
Coordinate examination forms, examination schedules and student communications.
Coordinate online/proctored examinations as applicable.
Ensure confidentiality, integrity and proper documentation of online assessments and examinations.
Coordinate result-related academic matters and student grievances.
H. UGC & Regulatory Compliance
Ensure Online Programmes operate in accordance with applicable UGC regulations, guidelines and amendments .
Assist the Director/Deputy Director CDOE in maintaining statutory and regulatory compliance.
Maintain programme-wise documentary evidence required for UGC/DEB and other regulatory submissions.
Support preparation of applications, affidavits, reports, disclosures and compliance documents.
Ensure mandatory information and disclosures relating to Online Programmes are updated appropriately.
Maintain records required for inspection, audit and regulatory verification.
Support preparation and maintenance of CIQA-related documentation and reports.
I. Quality Assurance – CIQA
Support the Centre for Internal Quality Assurance (CIQA) in monitoring the quality of Online Programmes.
Compile academic and operational data for periodic quality reviews.
Monitor student feedback, faculty feedback, learner outcomes and programme performance.
Prepare programme-wise quality reports and compliance dashboards.
Support Academic Review/Audit of Online Programmes.
Ensure corrective actions identified during reviews are implemented and documented.
J. MIS, Analytics & Reporting
Prepare and maintain periodic MIS covering:
Total student enrolment
Programme-wise enrolment
Active/inactive learners
LMS login and engagement
Live-class participation
Course completion
Faculty compliance
Content completion
Internal assessment completion
Examination status
Student grievances
Academic progression
Student retention
Programme completion
Submit weekly/monthly reports and dashboards to the Director/Deputy Director – CDOE and University Management as required.
3. KEY RESULT AREAS (KRAs)
Performance of the Assistant Director – CDOE (Online Education)
shall primarily be assessed on:
1. Academic Calendar Compliance
Timely execution of all scheduled online academic activities.
2. LMS Compliance
100% course mapping, content availability and academic activity monitoring on LMS.
3. E-Content Readiness
Timely availability and quality assurance of prescribed online learning content.
4. Faculty Compliance
Timely conduct of classes, content uploads, assessments and evaluation.
5. Learner Engagement
Improvement in student participation, course engagement and retention.
6. Assessment & Examination Compliance
Timely and error-free coordination of assessments and examinations.
7. Regulatory Compliance
Timely maintenance and submission of UGC/DEB/CIQA-related documentation and evidence.
8. Grievance Resolution
Effective monitoring and timely closure of student academic grievances.
9. Data & MIS Accuracy
Accurate and timely reporting of programme and student data.
10. Quality Improvement
Implementation of measurable improvements based on feedback, analytics, academic reviews and CIQA observations.
4. QUALIFICATION & EXPERIENCE
Qualification should be as prescribed under applicable UGC regulations and University norms.
Candidate should preferably be eligible for appointment at the level of Assistant Professor or above , as applicable.
Experience in Online Education / Online Degree Programmes / CDOE / e-Learning is strongly preferred.
Experience in academic administration and coordination in a University/Higher Education Institution is desirable.
Working knowledge of LMS platforms and online academic delivery is essential.
Knowledge of UGC regulations governing Online Programmes is essential.
Experience in digital content development, online assessments and learner support will be preferred.

6. KEY INTERNAL COORDINATION
The Assistant Director shall regularly coordinate with:
Director/Deputy Director – CDOE; CIQA; Deans and Heads of concerned Faculties/Schools; Programme Coordinators; Online Programme Faculty; Controller of Examinations/Examination Cell; LMS & Data Management Team; E-Content/Production Team; Admissions; IT Department; Finance; Student Support/Helpdesk; Registrar Office; and other University departments as required.
7. ROLE BOUNDARY
This position is specifically designated for Online Education / Online Degree Programmes under CDOE .
The incumbent will primarily be responsible for the academic, LMS, learner-support, examination, quality-assurance and regulatory operations relating to Online Programmes and will not ordinarily be responsible for the operational management of ODL programmes unless specifically assigned by the competent authority.
8. OTHER RESPONSIBILITIES
The Assistant Director shall undertake any additional academic, administrative, quality-assurance or regulatory responsibility relating to Online Education as assigned by the Director – CDOE or competent University authority from time to time.
