About the group

Hamd Holdings is the parent of Hamd Properties, a real estate brokerage agency; Magnetic Keys, an AI-integrated marketing agency; Lymora, an AI workforce and enablement company; and Special Minds, a special educational needs support service placing learning support assistants with families and schools.

This role supports the Chairman directly and handles administration for the group and its companies.

What you will do
- Manage the Chairman's calendar, meetings and travel, and protect time for the work that matters most.
- Run the inbox: triage, draft replies for approval, chase responses and make sure nothing is left unanswered.
- Keep a single task list across personal, group and company work, with owners and dates, and follow up until each item is closed.
- Prepare documents, presentations and meeting notes, and circulate actions the same day.
- Handle company administration: supplier onboarding, invoices for approval,



licence and renewal dates, filing and records.
- Coordinate with each company's lead on tasks the Chairman has delegated, and report back with status.
- Arrange personal appointments, bookings and errands that can be done remotely.
- Keep files, passwords and documents organised in the group's systems, to its naming conventions.

What you will not do
- Share the Chairman's calendar, contacts or documents with anyone outside the agreed list.
- Make a payment, commit to a supplier or send a signed document without written approval.
- Communicate on the Chairman's behalf without being asked to.

Who this suits
- Three or more years as an executive assistant, virtual assistant or office manager supporting a founder or senior leader.
- Proof of running one task list across several businesses or departments at once.
- Fluent with Google Workspace, a task manager and WhatsApp for work, communicating via Slac
