IT Administrator / IT Executive End-to-End IT Operations
Department: Information Technology / Administration

1. JOB PURPOSE
The IT Administrator will be responsible for managing and maintaining the company's complete IT infrastructure and technology operations, ensuring uninterrupted availability, security and performance of computers, networks, internet, cloud applications, Tally, software applications, data backup systems, CCTV surveillance, biometric attendance and other IT assets.
The person will act as the single point of contact for all day-to-day IT requirements of approximately 20 administrative/computer users and will independently manage end-to-end IT operations of the company.
2. KEY RESPONSIBILITIES
A. Desktop & User IT Support
- Provide first-level and second-level IT support to approximately 20 office/admin users.
- Install, configure and troubleshoot:
- Desktop computers
- Laptops
- Printers
- Scanners
- UPS systems
- Monitors
- Network devices
- Other IT peripherals.
- window server 2022
- share point (cloud file server)
- Configure Windows operating systems, drivers, applications and security updates.
- Troubleshoot hardware and software problems.
- Manage user accounts, passwords and access permissions.
- Ensure proper configuration of email and office productivity applications.
- Maintain IT asset allocation records for every employee.
- Maintain inventory of computers, laptops, printers, networking equipment and accessories.
B. Network & Internet Management
- Manage the company's complete LAN/WAN infrastructure.
- Configure and maintain:
- Routers
- Switches
- Wi-Fi
- LAN
- Internet connections
- Network printers
- VPN, wherever applicable.
- Troubleshoot network connectivity and internet downtime.
- Monitor network performance and identify connectivity issues.
- Coordinate with Internet Service Providers and IT vendors.
- Maintain proper network documentation and IP address records.
- Ensure secure Wi-Fi access for employees and guests.
C. Cloud Tally & Accounting Software
- Provide technical support for Cloud Tally / TallyPrime and related accounting systems.
- Coordinate with Tally service providers whenever required.
- Ensure users have appropriate access rights.
- Troubleshoot connectivity, login, synchronization and application issues.
- Support Finance/Accounts users for IT-related Tally issues.
- Ensure appropriate backup and data protection arrangements for accounting data.
- Coordinate with external vendors for Tally hosting/cloud infrastructure, if applicable.
D. Software & Application Management
- Install, configure and maintain company-approved software.
- Maintain a master list of all software installed on company computers.
- Manage software licenses, subscriptions and renewals.
- Ensure only authorized/licensed software is installed.
- Coordinate with software vendors for technical support.
- Maintain application access and user credentials securely.
- Assist departments with implementation of current software and applications.
- Support integration between various business applications wherever required.
E. Data Backup & Disaster Recovery
- Establish and manage a structured company-wide backup system.
- Ensure regular backup of critical business data.
- Manage:
- Local backups
- Cloud backups
- External/secondary backups, where applicable.
- Define backup frequency for critical data.
- Regularly verify that backups are actually completing successfully.
- Conduct periodic restoration tests to ensure data can be recovered.
- Maintain backup logs.
- Develop and maintain a basic Disaster Recovery / Business Continuity Plan for IT systems.
- Ensure critical data is protected against accidental deletion, hardware failure, ransomware and other IT incidents.
F. CCTV Surveillance System – 50 Cameras
- Take complete technical responsibility for approximately 50 CCTV cameras installed at the company's premises.
- Monitor the operational status of cameras, NVR/DVR and storage systems.
- Troubleshoot:
- Camera downtime
- Network camera issues
- NVR/DVR problems
- Recording failures
- Storage issues
- Remote viewing problems.
- Ensure continuous recording of critical areas.
- Monitor CCTV storage capacity and recording retention.
- Maintain CCTV system configuration and camera mapping.
- Coordinate with CCTV vendors for major hardware repairs/replacements.
- Maintain confidentiality and access control for CCTV footage.
- Ensure CCTV footage can be retrieved whenever authorized management requires it.
G. Biometric Attendance System
- Manage and maintain the company's biometric attendance system.
- Enrol/de-enrol employees and maintain biometric records.
- Troubleshoot biometric devices and connectivity.
- Ensure synchronization between biometric devices and attendance software.
- Coordinate with HR for attendance data requirements.
- Support HR in generating attendance-related reports.
- Maintain system access and administrator credentials securely.
- Coordinate with biometric vendors for technical issues and upgrades.
H. Cybersecurity & IT Security
- Implement basic cybersecurity controls across the organization.
- Ensure computers have updated antivirus/endpoint protection.
- Maintain Windows and critical software security updates.
- Implement strong password and access-control practices.
- Restrict unauthorized software installation.
- Monitor suspicious activities and security incidents.
- Assist in preventing:
- Malware
- Ransomware
- Phishing
- Unauthorized access
- Data leakage.
- Ensure critical administrative passwords are stored securely.
- Maintain separate administrative and user-level access wherever practical.
- Conduct periodic basic cybersecurity awareness sessions for employees.
I. Email & Cloud Services
- Manage corporate email accounts and user access.
- Create, modify and deactivate employee email accounts as per management/HR instructions.
- Troubleshoot email delivery, login and configuration problems.
- Support cloud storage and collaboration platforms.
- Manage appropriate sharing permissions.
- Ensure former employees' access is disabled immediately after separation.
J. IT Asset Management
Maintain a complete IT asset register containing:
- Asset number
- Computer/laptop details
- Serial number
- Configuration
- User assigned
- Department
- Purchase date
- Warranty
- AMC details
- Software licenses
- Repair history
- Replacement status.
Conduct periodic physical verification of IT assets.
K. Vendor & AMC Management
- Coordinate with:
- Computer hardware vendors
- CCTV vendors
- Biometric vendors
- Internet providers
- Tally/ERP vendors
- Software vendors
- Printer vendors
- AMC/service providers.
- Raise and track service requests.
- Verify vendor performance.
- Maintain AMC and warranty records.
- Assist management in evaluating IT-related quotations and purchases.
L. IT Procurement
- Identify hardware/software requirements.
- Prepare technical specifications for procurement.
- Obtain and compare vendor quotations.
- Recommend appropriate IT equipment based on business requirements and budget.
- Assist in installation and commissioning of new IT equipment.
- Ensure proper asset tagging and documentation.
