As part of a strategic international expansion, the company is launching its first corporate office in India, located in Bengaluru, effective November 1, 2026. Operating as a wholly-owned subsidiary under Vena Global Mobility India, this new hub will initially deliver cross-border immigration and visa consulting services for Canada, Latin America, and the Schengen Area. In alignment with long-term growth objectives, the Bengaluru operations will scale to provide comprehensive program coverage for the United Kingdom, the United States, and Australia.
Position OverviewAs a Senior Case Processing Specialist, you will own the end-to-end technical and administrative lifecycle of Canadian immigration files. Working out of our newly launched Bengaluru hub, you will act as a critical operational bridge, coordinating directly with our Canada-based Regulated Canadian Immigration Consultants (RCICs).This is a pure operations and file-management role. While you will handle the rigorous preparation and quality control of high-stakes files, all strategic advisory and legal representation remains the sole responsibility of the firm's authorized RCICs. This ground-floor opportunity offers unmatched exposure to complex, real-world files and a direct path to leadership as our Indian operations scale.Key ResponsibilitiesFile Preparation & Quality Assurance
- Compile and Audit Applications: Prepare, organize, and thoroughly review Canadian immigration application forms and comprehensive supporting document packages.
- Diverse Program Management: Manage end-to-end file preparation across a broad portfolio,
including Express Entry, Provincial Nominee Programs (PNPs), LMIA-supported applications, Work Permits, Study Permits, Post-Graduation Work Permits (PGWPs), Visitor Visas, and Family Class Sponsorships.
- Compliance Checking: Review all documents for strict completeness, internal consistency, and absolute accuracy, proactively identifying and resolving missing information before submission.
Case Management & Workflow Optimization
- Pipeline Tracking: Maintain meticulous case checklists, milestones, critical deadlines, document request logs, and secure client records.
- CRM Hygiene: Manage all files and communications within the firm's CRM and case-tracking system, ensuring real-time pipeline updates to trigger automated client notifications.
- Process Design: Assist leadership in developing, refining, and improving internal case-processing Standard Operating Procedures (SOPs) and quality-control systems as the Bengaluru office scales.
Stakeholder Coordination & Research
- RCIC Collaboration: Partner directly with Canada-based RCICs and consultants for systematic file preparation, compliance reviews, and final sign-offs.
- Client Liaison: Manage routine professional communications with clients regarding document collection, urgent follow-ups, and procedural workflow updates.
- Regulatory Research: Conduct ongoing research using official Immigration, Refugees and Citizenship Canada (IRCC) resources to stay ahead of program updates, policy variations, and procedural changes.
Scope Boundary & Compliance
- This is strictly an operational and case-processing position.
- The successful candidate will not provide immigration advice, eligibility strategies, or program selection to clients. Professional and legal responsibility for all strategies remains exclusively with the firm's CICC-authorized RCICs.
Ideal Candidate ProfileRequired Qualifications & Experience
- Experience:
2 to 4+ years of hands-on experience in Canadian immigration case processing, gained within a reputable immigration consultancy, law firm, RCIC office, or dedicated offshore processing firm.
- Domain Expertise: Advanced, practical knowledge of Canadian immigration programs, IRCC portals, and application processes.
- Execution Skills: Proven track record of compiling error-free application packages and navigating complex document checklists.
- Communication: Exceptional verbal and written English communication skills, with the ability to maintain clear, professional correspondence with global teams and clients.
- Tech-Savviness: Highly proficient in modern CRM/case-management platforms, Microsoft Office, and Google Workspace.
Preferred Assets
- Prior experience working directly under the supervision of an RCIC or a Canadian immigration lawyer.
- Professional fluency in Hindi and Kannada to support diverse local and national operations.

Work Schedule: Monday–Friday: 11:30 AM – 8:00 PM IST | Saturday: 11:30 AM – 4:00 PM IST (Note: Shift structure accommodates collaborative overlap with the Canadian team. Half-day Saturday shifts are compensated with additional monthly paid holidays).
Pay: ₹600,000.00 - ₹1,200,000.00 per year
