Responsibilities

1. Procurement Planning

Plan and manage the purchase of raw materials, packaging materials, chemicals, consumables, spare parts, and other plant requirements.

Coordinate with Production, QA, QC, Warehouse, Maintenance, and other departments to understand material requirements.

2. Vendor Management

Identify, evaluate, and develop reliable suppliers.

Obtain quotations, compare prices, negotiate commercial terms, and finalize suppliers.

Maintain approved vendor details and coordinate with QA for vendor qualification/approval.

3. Pharmaceutical Raw Materials

Procure API/raw materials, excipients, chemicals, and other materials as per approved specifications.

Ensure materials are sourced only from approved/qualified vendors and required documentation is available.

4. Packaging Materials

Purchase bottles/containers, caps, closures, labels, cartons, outer boxes, inserts, and other packaging materials.

Coordinate with Production and QA to ensure specifications and artwork requirements are followed.

5. Purchase Orders

Prepare and issue purchase orders based on approved requirements.

Monitor PO status, delivery schedules, quantities, specifications, and agreed prices.

6. Inventory & Stock Coordination

Coordinate with the Warehouse to avoid stock-outs and excess inventory.

Monitor minimum/maximum stock levels and ensure timely replenishment of critical materials.

7. Quality & Compliance

Ensure purchased materials meet approved specifications and pharmaceutical quality requirements.

Coordinate with QA/QC regarding COA, test reports, specifications, MSDS/SDS, and other required documents.

Maintain proper purchase records for audits and regulatory inspections.

8. Cost Control

Negotiate prices, payment terms, transportation costs, and other commercial conditions.

Identify opportunities to reduce procurement costs without compromising quality.

9. Delivery & Logistics





Follow up with suppliers for timely delivery.

Coordinate transportation and resolve delayed, damaged, short-supplied, or incorrect materials.

10. Documentation & Records

Maintain quotations, comparative statements, purchase orders, vendor documents, invoices, and procurement records.

Ensure proper documentation and traceability of pharmaceutical materials.

11. Cross-Department Coordination

Coordinate closely with Production, QA, QC, Warehouse, Maintenance, Finance, and Management for smooth material availability and procurement planning.

12. Supplier Performance

Monitor supplier quality, delivery performance, pricing, and service.

Address supplier complaints and take corrective actions where required.

Purchase Manager – Qualification & Experience

Educational Qualification:

- Bachelor's degree in B.Com, BBA, BBM, Supply Chain Management, Logistics, or a related field.
- MBA in Supply Chain/Operations/Finance is an added advantage.
- For pharmaceutical manufacturing, knowledge of GMP, pharmaceutical procurement, and quality documentation is preferred.

Experience:

- 5–8 years of experience in purchase/procurement, preferably in a pharmaceutical manufacturing company.
- Experience in purchasing API/raw materials, chemicals, packaging materials, engineering spares, and consumables is preferred.
- Experience in vendor development, price negotiation, purchase orders, inventory coordination, and supplier management.
- Good knowledge of ERP systems, MS Excel, inventory management, and procurement documentation.

Preferred Skills:

- Robust negotiation and vendor-management skills.
- Good communication and coordination with different departments.
- Knowledge of pharmaceutical GMP and regulatory requirements.
- Ability to manage urgent and critical material requirements.
