Key Responsibilities
1. Onboarding & Induction
- Coordinate pre-joining formalities: offer/appointment letter issuance, document collection and joining schedules.
- Conduct joining formalities and the induction programme covering company overview, policies, safety norms, code of conduct and systems access.
- Coordinate with IT, Admin, Accounts and department heads for laptops, ID cards, email IDs, access and seating before Day 1.
- Track probation and confirmation timelines, and collect new-joiner feedback at 30/60/90 days.
- Maintain the joiner checklist and ensure complete, verified personnel files (including BGV coordination with the HR Manager).
2. Attendance & Leave Management
- Consolidate and validate daily/monthly attendance from biometric or HRMS systems.
- Track leaves, late marks, on-duty entries and regularisations, and resolve discrepancies with department heads.
- Share the finalised attendance and leave data with the payroll team by the cut-off date.
3. Payroll Support
- Prepare monthly payroll inputs: joiners, exits, attendance, leave encashment, incentives, reimbursements and deductions.
- Check payroll sheets/reports for accuracy before release and raise variances with the HR Manager.
- Support statutory compliance inputs (PF, ESI, PT, TDS) and coordinate with Accounts/Finance and auditors as required.
- Handle employee payroll queries and payslip-related requests.
4. TA/DA Processing
- Receive, verify and process employee travel claims (TA) and daily allowance (DA) against company policy and approvals.
- Check supporting documents, rate eligibility and grade entitlements, and flag policy deviations.
- Coordinate claim settlement with Accounts and maintain the monthly TA/DA tracker and reports.
5. General HR Operations
- Maintain the employee master data, HRIS records and HR MIS (headcount,
attrition, joiners/exits, attendance summaries).
- Support the exit process: resignation acceptance, clearance, full & final inputs and issue of relieving/experience letters.
- Issue HR letters and certificates (confirmation, salary/employment verification, transfers, etc.).
- Assist with employee engagement activities, statutory displays/registers and audits.
- Support the HR Manager on policy updates, performance appraisal cycles and ad-hoc HR projects.
Qualifications & Experience
- MBA/PGDM in HR or a graduate degree with a specialisation in HR.
- 4–7 years of experience in HR operations, preferably in a manufacturing, steel, power or other industrial setup.
- Hands-on experience in onboarding, attendance management, payroll processing and reimbursement/TA-DA handling.
Skills & Competencies
- Working knowledge of payroll and labour compliance (PF, ESI, PT, Factories Act basics, Payment of Wages, etc.).
- Proficient in MS Excel (VLOOKUP/XLOOKUP, pivot tables) and any HRMS/payroll software.
- Strong attention to detail, confidentiality and deadline discipline.
- Good communication and coordination skills across levels, from plant floor to senior management.
- Ability to conduct engaging induction sessions and handle multiple tasks at once.
Key Performance Indicators
- Onboarding completion and document accuracy (zero Day-1 gaps)
- Attendance and payroll input turnaround, with error rate
- TA/DA claim turnaround time and policy adherence
- New-joiner feedback and probation-completion tracking
- Timeliness and accuracy of HR MIS reports
