Purpose of the Role
A centralised operations command between the MD and all physical infrastructure functions across 7 campuses. She owns maintenance end-to-end, enforces housekeeping standards as a direct quality authority, and keeps transport running reliably — holding all vendors and staff directly accountable without the MD needing to step in. She also co-owns safety audit discipline with the MD: running scheduled safety audits and flagging concerns in writing to campus Principals, who remain the accountable owner for school and preschool safety.

Daily Maintenance Huddle

Format: Open issues → New tickets → Priority set → Owner assigned → Escalation flag if needed. Logged daily. MD receives weekly summary only.
Core Responsibility Pillars
Maintenance — End-to-End Ownership
Runs the daily morning huddle across all 7 campuses; builds scorecards.
Assigns, tracks, and ensures follow-ups (via Process Coordinator) on every open maintenance ticket to closure.
Coordinates cross-campus contractor scheduling to avoid conflicts.
Flags capital expenditure needs to MD with recommendations.
Maintains a live issue register accessible to all relevant staff.
Oversees pick-up of maintenance items from one campus to another.
Prevention focus — identifies pre-maintenance areas and ensures the same is being done by respective accountable people.
Maintains vandalism oversight — ensures culprits are caught by respective branches and vandalism is curtailed so maintenance issues don't keep recurring.
Housekeeping — Quality Control and Corrective Authority
Sets and enforces cleanliness standards across all 7 campuses, including making and updating the quality checklist; builds relevant scorecards.
Conducts scheduled and surprise audits; issues corrective notices to HK managers.
Tracks weekly compliance scores per campus, takes EMs on these scores, and reports trends.
Has direct authority to escalate or recommend action against non-performing staff (identified prior via the relevant workflow / system data / meeting rhythms).
Ensures respective housekeeping meeting rhythms are happening in each branch.
Safety Audits — Template Design and Flagging Authority
Co-designs safety audit templates and checklists with the MD, covering fire, electrical, structural, playground/outdoor, and general campus safety for K12 schools and preschools.
Runs scheduled safety audits across all 7 campuses using the agreed templates; builds and maintains a safety scorecard per campus.
Documents every finding and issues it in writing to the respective campus Principal for action — safety accountability sits with the Principal, not this role.
Where a flagged concern is fixable through maintenance, routes it into the maintenance ticketing system / daily huddle for resolution and tracks it to closure.
Follows up with Principals on open flags until resolved or formally acknowledged, and maintains a written log of all safety flags raised and their status.
Reports safety audit coverage and open-flag ageing to MD in the weekly summary; does not overrule or direct Principals on safety decisions.
Transport — Vendor Accountability and Parent Interface
Monitors tardiness across all campuses; builds scorecards.
Holds the 3rd party vendor to contractual SLA on punctuality and safety via weekly EMs on relevant measurement parameters.
Ensures the CRM team and transport coordinator help resolve 100% of transport-related parent complaints via the operator.
Personally involves in and resolves escalations coming via email etc.
Tracks repeat vendor issues and flags performance to MD with evidence.
In case a change is needed for the transport vendor, gathers available options and discusses with MD.

Full audit of maintenance backlog, HK standards, and transport SLA gaps across all 7 campuses. Co-builds the safety audit templates with the MD. No major corrective action yet — observe, document, and build baseline scorecards.

Daily huddle running consistently. Ticket system active. HK audits on schedule. Transport SLA tracking in place. Safety audits running on schedule with written flags reaching Principals. MD receiving weekly summaries instead of daily firefighting calls.

Month 6 Onward — Predictive Ops
Moves from reactive to preventive — planned maintenance schedules, seasonal HK protocols, vendor performance review cycles, and a mature safety-flag closure loop with Principals. Potential to absorb facilities planning and capex input for recent campuses.
Ideal Candidate Profile
Look for candidates from facility management in private hospitals, large hotel chains, or corporate campuses. They bring shift-handover discipline, contract worker management experience, and the ability to handle demanding stakeholders — all of which map directly to this role. A school ops background alone is insufficient.

Hiring Recommendation
Prioritise candidates who have managed multiple sites or departments simultaneously. The ability to run a structured daily standup, read a compliance scorecard, and hold a vendor conversation firmly are non-negotiable. Warmth and composure in parent-facing situations is also essential, particularly for transport escalations. For the safety mandate, prioritise candidates who document rigorously and communicate findings in writing without ambiguity — this role flags and enables, it does not decide on behalf of the Principal.
Note for MD: This role is designed to make you invisible to daily operations entirely. Every maintenance ticket, housekeeping lapse, transport complaint, and safety concern should resolve or reach the right owner (Principal, for safety) without needing to reach your desk. The weekly summary replaces daily firefighting. Success in the first 90 days looks like: zero ops issues escalating to MD, huddle happening daily, safety audit templates finalised with you, and at least one measurable improvement in HK or transport scores.
Pay: ₹13,563.21 - ₹47,920.80 per month
