Position: Executive Assistant to MD/CEO
Department: Management / Administration
Location: Jalandhar
Reporting To: Managing Director / CEO
Experience: 2–5 Years

Job Summary
We are looking for a smart, well-organized and responsible Executive Assistant to the MD/CEO who can provide high-level administrative and operational support. The candidate will be responsible for managing the MD/CEO’s schedule, coordinating meetings, following up on important tasks, maintaining confidentiality and ensuring smooth communication between management and different departments.
Key Responsibilities
1. Calendar & Schedule Management
- Manage the MD/CEO’s daily calendar, meetings and appointments.
- Schedule and coordinate internal and external meetings.
- Ensure timely reminders and preparation for important meetings.
- Manage travel plans, appointments and other official engagements when required.
2. Meeting & Follow-Up
- Attend important meetings with the MD/CEO and maintain meeting notes/MOM.
- Prepare a list of action points and follow up with concerned departments.
- Track pending tasks and provide regular updates to the MD/CEO.
- Ensure deadlines and commitments are followed.
3. Communication & Coordination
- Act as a communication link between the MD/CEO and internal departments.
- Coordinate with HR, Accounts, Sales, Operations, Stock and other teams.
- Handle emails, calls and official communication on behalf of the MD/CEO when required.
- Maintain professional communication with clients, vendors and business associates.
4. MIS & Reporting
- Prepare daily/weekly/monthly reports as required by management.
- Collect and organize data from different departments.
- Maintain records of important documents, reports and management information.
- Assist the MD/CEO in reviewing departmental performance and pending matters.
5. Administrative Support
- Prepare presentations, documents, letters and other official material.
- Maintain confidential files and significant company information.
- Coordinate with vendors, service providers and external parties when required.
- Assist in organizing meetings, events and business visits.
6. Task & Project Management
- Monitor important assignments given by the MD/CEO.
- Coordinate with relevant employees to ensure timely completion.
- Maintain a task tracker and highlight delays or important issues to management.
- Assist in implementing management decisions across departments.
Preferred Qualifications
- Graduate in BBA, B.Com, MBA, Business Administration or a related field.
- 2–5 years of experience as an Executive Assistant, Personal Assistant, Management Executive or Office Manager.
- Experience in retail, jewellery, luxury, corporate or family-owned business will be an advantage.
