Procurement Executive

Industry: Modular Interiors

Experience: 2-5 years in interior/Fit-out industry.

Job Responsibilities;

1. Handle end-to-end procurement of materials required for modular interior and site execution works.

2. Review project drawings, BOQ and material requirements and coordinate with the Design, Production and Project teams before procurement.

3. Procure plywood, laminates, hardware, accessories, profiles, glass, countertops, adhesives and other interior-related materials as per approved specifications.

4. Obtain quotations from multiple vendors, prepare comparative statements and negotiate pricing, delivery schedules, credit terms and commercial conditions.

5. Prepare and issue accurate Purchase Orders (POs) with proper material specifications, quantities, rates and delivery requirements.

6. Ensure materials are ordered sufficiently in advance according to the production and site execution schedule.

7. Continuously follow up with vendors and ensure timely delivery to the factory and project sites.

8. Verify received materials against PO specifications, quantities and approved samples in coordination with the concerned team.

9. Immediately coordinate replacement or resolution of damaged, defective, incorrect or short-supplied materials.

10. Maintain an updated vendor database with pricing, product categories, lead times, credit terms and performance history.

11. Identify and develop alternative vendors to improve pricing, availability, quality and procurement reliability.

12. Coordinate closely with Factory, Project, Design, Accounts and Management teams regarding purchase requirements and delivery priorities.

13. Track pending Purchase Requests,



Purchase Orders and deliveries and proactively highlight anything that could affect production or project schedules.

14. Maintain project-wise procurement records and monitor actual purchase costs against the approved project budget/quotation.

15. Identify price variations and potential cost overruns before placing orders and report them to management.

16. Negotiate effectively to achieve procurement savings without compromising approved specifications or quality.

17. Coordinate vendor invoices, delivery challans and supporting documents with Accounts for payment processing.

18. Monitor vendor credit limits and negotiate better credit periods wherever possible.

19. Prepare weekly purchase reports and monthly purchase performance reports for management review.

20. Conduct a post-mortem of completed project purchases, covering procurement delays, price variations, vendor issues, excess/short purchases and procurement savings.

Core Responsibility:

Ensure the right material, right specification, right quantity and right price are procured and delivered at the right time—without affecting project schedules, product quality or project profitability.

Candidate Requirements;

* B. Tech / Diploma in Civil Engineering

* 2–5 years of procurement/purchase experience in an interior, modular furniture or fit-out company

* Good understanding of interior materials, hardware and specifications

* Ability to read basic drawings, BOQs and material specifications

* Strong vendor negotiation and follow-up skills

* Good knowledge of Excel and purchase reporting

* Solid coordination, documentation and communication skills

* Ability to work according to strict project and production timelines
