About the Role
Aptara is looking for an experienced HR Generalist with 2+ years of relevant experience who has robust hands-on exposure to HR Operations, Payroll, Statutory Compliance, Labour Laws, Employee Relations, and HR Processes.
The ideal candidate will be responsible for managing day-to-day HR activities across the employee lifecycle while independently handling key aspects of monthly payroll, statutory compliances, employee documentation, attendance and leave administration, HR MIS, and employee queries.
The role requires a well-rounded HR professional who can effectively manage both people-oriented HR operations and process-driven payroll and compliance activities. The candidate should have practical knowledge of Indian labour laws, statutory requirements, payroll processes, employee lifecycle management, and HR policies.
The candidate should also be capable of coordinating with Finance, Administration, business stakeholders, employees, and external statutory consultants/agencies to ensure smooth and compliant HR operations.
Key Responsibilities
1. HR Operations & Employee Lifecycle
- Manage day-to-day HR operations and employee lifecycle activities.
- Handle employee onboarding, documentation, induction, transfers, promotions, salary revisions, and exit formalities.
- Ensure timely completion of joining and exit documentation.
- Maintain accurate employee records, personnel files, HR databases, and employee master data.
- Manage attendance, leave, regularization, and related employee records.
- Address employee queries related to HR policies, attendance, leave, payroll, benefits, and statutory deductions.
- Coordinate with employees, managers, Finance, Administration, and other internal stakeholders for HR-related requirements.
- Ensure HR processes and policies are implemented consistently across the organization.
- Support employee engagement initiatives and other HR activities as required.
- Maintain confidentiality of employee and organizational information.
2. Payroll Management
- Coordinate and manage the end-to-end monthly payroll process in coordination with Finance/payroll partners.
- Collect, validate, and consolidate payroll inputs including:
- Attendance and leave
- LOP
- New joiners
- Exits and full & final settlements
- Salary revisions
- Incentives and variable pay
- Overtime
- Arrears
- Reimbursements
- Deductions
- Validate payroll data and identify discrepancies before payroll processing.
- Ensure accurate calculation of salary components, deductions, statutory contributions, and net salary.
- Coordinate with Finance/Accounts for timely salary processing.
- Ensure timely submission and processing of payroll inputs within defined timelines.
- Handle employee queries related to salary, deductions, attendance, leave, and statutory contributions.
- Support payroll reconciliation and resolution of payroll discrepancies.
- Maintain payroll-related records and documentation.
- Ensure confidentiality and accuracy of employee compensation information.
3. Statutory Compliance
- Manage and monitor applicable HR and payroll statutory compliances.
- Ensure timely calculation, payment, reconciliation, and filing of statutory contributions and returns.
- Coordinate and maintain compliance related to:
- Provident Fund (PF/EPF)
- Employees' State Insurance (ESI)
- Professional Tax (PT)
- Labour Welfare Fund (LWF)
- Gratuity
- Bonus
- TDS on Salary
- Minimum Wages
- Working Hours and Overtime
- Leave and Holidays
- Maintain statutory challans, returns, registers, declarations, and supporting documents.
- Maintain statutory compliance calendars and trackers.
- Coordinate with external consultants/agencies wherever applicable.
- Support internal and external audits and provide required HR/statutory documentation.
- Identify compliance gaps and coordinate corrective actions.
- Ensure statutory records and employee documentation are maintained accurately and are readily available when required.
4. Labour Laws & Wage Compliance
- Possess practical knowledge of applicable Indian labour laws and employment regulations.
- Ensure HR processes and payroll practices are aligned with applicable statutory requirements.
- Monitor applicable minimum wage rates based on location, employee category, and employment type.
- Ensure compliance related to:
- Minimum wages
- Payment of wages
- Deductions from wages
- Working hours
- Overtime
- Leave and holidays
- Bonus
- Gratuity
- Social security
- Employee welfare
- Review salary structures and payroll components from a statutory-compliance perspective.
- Monitor regulatory notifications, amendments, and circulars relevant to HR and payroll.
- Support implementation of changes arising from applicable labour-law requirements.
5. Employee Relations & HR Support
- Act as a point of contact for employees regarding HR policies, processes, benefits, attendance, leave, payroll, and general HR queries.
- Support managers in addressing employee-related matters and HR processes.
- Assist in resolving employee grievances in a timely and professional manner.
- Maintain proper documentation of employee-related cases and actions.
- Support disciplinary and employee relations processes in coordination with HR management.
- Promote consistent application of HR policies and processes.
- Maintain professional and confidential communication while handling sensitive employee matters.
6. HR Policies & Process Management
- Support the development, implementation, and periodic review of HR policies and processes.
- Ensure HR policies are communicated effectively to employees.
- Identify process gaps and recommend improvements to enhance HR efficiency.
- Ensure HR processes are aligned with organizational requirements and applicable statutory regulations.
- Maintain HR process documentation and standard operating procedures.
7. HR MIS, Reporting & Documentation
- Prepare and maintain HR MIS, reports, trackers, and dashboards as required.
- Maintain accurate records related to:
- Headcount
- Attrition
- Attendance
- Leave
- Payroll
- Employee movements
- Compliance
- Recruitment and joining data
- Generate periodic HR reports for management review.
- Maintain employee documentation and ensure data accuracy across HR systems.
- Support audits, management reviews, and other reporting requirements.
8. Labour Codes & Regulatory Updates
- Stay updated on relevant developments in Indian labour laws and employment regulations.
- Maintain awareness of applicable provisions under:
- Code on Wages
- Code on Social Security
- Industrial Relations Code
- Occupational Safety, Health and Working Conditions Code
- Monitor applicable Central and State-level rules, notifications, amendments, and regulatory updates.
- Assess the potential impact of relevant regulatory changes on HR processes, payroll, and employee policies.
- Coordinate with relevant internal stakeholders and consultants for implementation of applicable changes.
Required Skills & Qualifications
- Bachelor's/Master's degree in Human Resources, Business Administration, or a related field.
- 2+ years of experience in HR Generalist / HR Operations roles.
- Strong hands-on experience in HR Operations, Payroll, Statutory Compliance, and Labour Laws.
- Practical knowledge of PF, ESIC, PT, LWF, Gratuity, Bonus, TDS, and other applicable statutory requirements.
- Good understanding of Indian labour laws and wage-related compliance.
- Hands-on exposure to monthly payroll processing and payroll validation.
- Strong knowledge of attendance, leave, employee lifecycle, and HR documentation processes.
- Experience in handling employee queries and employee relations.
- Good analytical and problem-solving skills.
- Strong MS Excel skills and experience working with HRMS/payroll systems.
- Good communication and interpersonal skills.
- Ability to handle confidential employee information with discretion.
- Ability to manage multiple HR activities and meet statutory and payroll deadlines.
Preferred Experience
- Experience in a corporate / IT / ITES / BPO / eLearning / publishing / services environment.
- Experience handling payroll for a mid-to-large employee population.
- Experience coordinating with payroll/statutory consultants and Finance teams.
- Exposure to HR audits and statutory inspections.
- Experience in preparing HR MIS and management reports.
- Exposure to HRMS and payroll platforms.
- Ability to independently manage HR operations while working closely with HR leadership.
