Event Coordinator — Corporate Events
Location: Pune, India
Work mode: Work from office, 5 days a week

Openings: 2 Working hours: Aligned to UAE business hours
Weekly off: Any 2 days of the week

The Role
We are looking for Senior Event Planners who can own corporate events end to end — from the first client conversation to the final delivery. You will handle the client, sale, proposal, pricing, suppliers and execution for your events.
This is not a coordination role. You will be expected to win business, protect margin, manage the client relationship and deliver what you sold. You will work with corporate clients across the UAE, while coordinating venues and suppliers remotely with local on-ground support.

Key Roles & Responsibilities

1. Own the sale
Manage inbound corporate enquiries from qualification through to closure.
Understand the client's brief, budget and objectives.
Build compelling proposals and commercially sound quotations.
Negotiate, handle objections and close business.
Follow up consistently and maintain a healthy pipeline.
Identify opportunities for upsell, repeat business and account growth.
Own the revenue and margin of your events, not just the booking.

2. Plan the event end to end
Translate client briefs into practical event plans covering venue, layout, F&B;, décor, AV,
entertainment, staffing and logistics.
Evaluate venue capacity, floor plans, setup constraints and operational feasibility.
Build timelines, identify dependencies and anticipate delivery risks.
Ensure the solution sold to the client can actually be executed.

3. Manage suppliers and commercials
Source and shortlist appropriate suppliers.
Negotiate rates and commercial terms.
Brief suppliers clearly and lock scope in writing.
Manage confirmations, setup requirements and delivery timelines.
Track supplier performance and feed learnings back into Hafla's system.

4. Own event delivery
Coordinate the event from confirmed booking through execution and closure.
Manage client communication,



supplier coordination and last-minute changes.
Resolve delivery issues quickly and protect the client experience.
Complete post-event closure, feedback and invoicing inputs.

5. Own your numbers
Track and actively manage your own:
Revenue
Gross margin
Conversion
Average order value
Response time
Delivery quality
Client satisfaction
Repeat business
You should know where you stand and what needs to improve without waiting for someone else to tell you.

6. Work with AI and Product
Use Hafla's AI tools daily for lead management, proposals, procurement and pricing.
Give structured feedback where AI recommendations or workflows fall short.
Identify repetitive work that can be automated or improved.
Help Product understand real planner and client pain points

Must Have
3–6 years of experience in corporate events, MICE, banquet sales, hotel events, event
production or an events agency
Experience personally owning both the sale and delivery of events
Strong understanding of event commercials, pricing and margin
Strong venue and event-planning knowledge
Excellent spoken and written English
Comfortable dealing directly with corporate clients
Strong negotiation, follow-up and client-management skills
Strong attention to detail and execution discipline
Comfortable using CRM, event-planning and other digital tools
Ability to work independently and solve problems without constant escalation

Positive to Have
UAE / GCC / international client exposure
Hotel banquet, or venue-sales experience
Experience across décor, AV, F&B;, entertainment or production
Existing supplier / venue relationships
Degree or diploma in hotel management or event management
Meaningful experience using AI tools in day-to-day work
Experience working with automation, Product or technology teams
Have Events, Travel, Hospitality, or similar industry background

UAE market experience is useful, but not essential. We care more about strong event
fundamentals and how quickly you learn
