Nature of The Job

The Language Programme Administrator provides administrative support for the modern language provision at the University of Law. Working closely with the Head of Modern Languages, the postholder supports the administration of language modules, develops and maintains programme records, responds to routine enquiries, prepares documentation and communications, and assists with a range of administrative activities that contribute to an excellent student and staff experience. The role is administrative in nature and does not carry responsibility for academic decision-making, curriculum development, programme leadership or strategic planning.

Key AccountabilityActionsMain Function of Job

The Language Programme Administrator provides administrative support for the modern language provision at the University of Law. Working closely with the Head of Modern Languages, the postholder supports the administration of language modules, develops and maintains programme records, responds to routine enquiries, prepares documentation and communications, and assists with a range of administrative activities that contribute to an excellent student and staff experience. The role is administrative in nature and does not carry responsibility for academic decision-making, curriculum development, programme leadership or strategic planning.

Responsible for:

- Providing administrative support for the new Language Programme

- Responding to routine enquiries from students and staff.

- Maintaining accurate programme records and documentation.

- Supporting student enrolment and registration processes.

- Organising meetings and maintaining administrative records.

- Preparing routine reports, correspondence and programme documentation.

- Updating programme information on University systems and webpages.

- Providing administrative support for programme communications and events.

- Providing administrative support to the Head of Modern Languages.

Reporting Line
- Language Programme Administrator will report directly to the Head of Modern Languages

Specific ResponsibilitiesProgramme Administration
- Develop, implement and maintain administrative processes, workflows,



templates and record-keeping systems to support the effective operation of the Language Programme, under the direction of the Head of Modern Languages.

- Undertake administrative tasks associated with the delivery of the Language Programme.

- Maintain accurate student, module and lecturer records and support enrolment and registration activities as required.

- Monitor and respond to enquiries received through shared mailboxes and other communication channels.

- Maintain records in accordance with University policies and procedures.

- Prepare routine administrative reports and documentation.

- Support data collection activities for reporting purposes.

- Identify opportunities to improve administrative processes and systems and make recommendations to the Head of Modern Languages.

Lecturer Administration
- Act as the first administrative point of contact for Visiting Language Lecturers.

- Collect and submit teaching claims and payment documentation in accordance with University procedures.

- Maintain records relating to teaching hours and payments.

- Support administrative aspects of onboarding new Visiting Language Lecturers as required.

Meetings and Events
- Arrange meetings on behalf of the Head of Up-to-date Languages.

- Prepare agendas and circulate meeting papers.

- Take minutes and maintain action logs.

- Organise room bookings and online meeting arrangements where required.

Communications
- Update programme information on relevant University webpages and systems.

- Draft and distribute routine communications to students, staff and visiting lecturers.

- Support the preparation and distribution of programme updates.

- Maintain distribution lists and contact databases.

Customer Service
- Provide professional, accurate and timely responses to enquiries.

- Escalate academic or complex matters to the Head of Modern Languages as appropriate.

- Support a positive experience for students, staff and visiting lecturers through the delivery of high-quality administrative support.

Team Working
- Work collaboratively with colleagues across Academic Development and the wider University.

- Contribute to a positive, professional and supportive working environment.

- Undertake other duties appropriate to the grade of the post as reasonably requested.

In addition to the responsibilities listed above, the job holder may be required to perform other duties as assigned by members of Modern Languages Team from time to time.

Desired ProfileQualification
- Educated to A Level standard or equivalent professional experience.

- GCSE English and Mathematics (Grade 4/C or above) or equivalent.
