EXIM & Shipping Coordinator – Job Description

- Coordinate import/export shipments from order placement to final delivery.
- Handle and maintain EXIM and shipping-related documentation.
- Coordinate with freight forwarders, shipping agents, customs brokers, transporters, and suppliers.
- Track shipment status, ETA, ETD, vessel, container, and delivery schedules.
- Follow up on Bill of Lading/Airway Bill, invoices, packing lists, certificates, and other documents.
- Coordinate with suppliers and internal teams for timely receipt of required documents.
- Support customs clearance and logistics coordination activities.
- Track Purchase Orders and coordinate with Procurement and Warehouse teams.
- Identify and communicate shipment delays, discrepancies, and pending actions.
- Coordinate with Finance & Accounts for import/export invoices, freight, customs duty, and related payments.
- Verify supporting documents before submitting them to Finance/Accounts.
- Follow up on supplier, freight, customs, and logistics-related payments.




- Assist in reconciliation of shipment-related invoices, POs, and supporting documents.
- Maintain shipment trackers, cost records, and other relevant MIS reports.
- Coordinate with EXIM, Supply Chain, Procurement, Finance, Warehouse, and Operations teams.
- Ensure timely follow-up and closure of pending documentation and operational activities.
- Prepare basic shipment and payment status reports for management.
- Required: Basic EXIM, shipping, supply chain and finance coordination knowledge.
- Skills: MS Excel/MS Office, documentation, communication, follow-up, and attention to detail.
- Experience: Ability to coordinate with multiple departments and external vendors in a fast-paced environment.
