About SMD Labs
S.M.D. Laboratory & Equipment Suppliers is a Lucknow-based supplier of laboratory chemicals, analytical reagents, reference standards, chromatography consumables, laboratory equipment and related products. We work with research institutes, universities, government laboratories, pharmaceutical, food, environmental and industrial laboratories.
Job Overview
We are looking for a responsible, organized and computer-savvy Office Executive who can handle a combination of:
- Basic accounting & invoicing
- Customer quotations
- Sales coordination
- Payment follow-ups
- Cold calling
- GeM Portal
- Government & institutional tenders
- Documentation and MIS
The candidate should be comfortable working independently, following up with customers and suppliers, and handling multiple tasks with accuracy.
Key Responsibilities
1. Accounts & Billing
- Maintain day-to-day accounting records.
- Prepare sales invoices and purchase entries.
- Handle basic accounting on Tally / accounting software.
- Maintain customer and supplier ledgers.
- Track outstanding payments and prepare ageing reports.
- Make regular payment follow-up calls with customers.
- Coordinate with CA/accounts team for GST, TDS and other documentation.
- Maintain proper records of invoices, payments, receipts and expenses.
2. Quotations & Sales Coordination
- Prepare customer quotations accurately.
- Collect prices from suppliers/principals.
- Compare supplier prices and prepare competitive offers.
- Follow up quotations with customers through phone, email and WhatsApp.
- Maintain quotation and order trackers.
- Coordinate with the sales team for pending quotations and orders.
- Prepare revised quotations whenever required.
- Ensure correct product description, part number, pack size, price, GST and delivery details.
3. Cold Calling & Customer Follow-up
- Make daily calls to existing and prospective customers.
- Follow up on quotations and pending orders.
- Follow up for payment against outstanding invoices.
- Contact laboratories, institutions and companies for new requirements.
- Maintain daily call and follow-up records.
- Generate leads and pass qualified requirements to the sales team.
4. GeM Portal
- Search and identify relevant GeM opportunities.
- Monitor GeM bids and deadlines.
- Prepare and upload required documents.
- Coordinate with suppliers/principals for technical and commercial information.
- Prepare BOQ and commercial quotations.
- Participate in GeM bids as instructed by management.
- Maintain records of bids, orders and GeM transactions.
- Track GeM orders, invoices, delivery and payments.
5. Government & E-Tenders
- Search relevant government and institutional tenders.
- Monitor CPPP, state e-procurement and other tender portals.
- Download and study tender documents.
- Prepare tender summary and eligibility checklist.
- Coordinate for technical documents, certificates, declarations and other requirements.
- Prepare commercial bids and quotations.
- Coordinate EMD/tender fee requirements where applicable.
- Submit tenders before deadlines.
- Track corrigendum, clarifications, bid results and order status.
- Maintain a proper Tender MIS and tender history.
6. Office Administration
- Maintain customer, supplier and quotation records.
- Maintain Excel trackers and daily MIS.
- Organize digital documents and tender folders.
- Prepare daily/weekly reports for management.
- Coordinate between sales, accounts, suppliers and customers.
Candidate Profile
Education:
- Graduate preferred – B.Com / BBA / B.Com (Hons.) preferred.
- Candidates with strong practical experience may also be considered.
Experience:
- 1–3 years preferred.
- Experience in laboratory/scientific supplies, distribution, government sales, GeM, tenders or B2B business will be an advantage.
- Freshers with excellent Excel/computer skills and willingness to learn may be considered for a junior position.
Must-Have Skills
- Good knowledge of MS Excel and MS Word
- Good English communication – reading, writing and speaking
- Basic accounting knowledge
- Tally/accounting software knowledge preferred
- Good email drafting skills
- Valuable follow-up and telephone communication skills
- Ability to work with online portals
- Good documentation and filing skills
- High attention to detail
- Ability to meet tender and quotation deadlines
Preferred Experience
Preference will be given to candidates who have hands-on experience in:
GeM Portal + Government Tenders + Tally + Excel + Quotations + Customer Follow-up
A candidate who can independently handle these activities will be preferred.
Daily Work Expectations
The candidate will be expected to:
- Prepare and follow up quotations
- Make customer/payment follow-up calls
- Check and respond to emails
- Update sales and payment trackers
- Check relevant GeM/tender opportunities
- Prepare tender documentation
- Coordinate with suppliers for pricing and documents
- Update accounts/invoices
- Maintain daily activity reports
Important
This is not a purely back-office data-entry position.
The person will need to actively communicate with customers, suppliers and government/institutional departments and take responsibility for follow-ups, quotations, accounts and tender-related work.
Salary
₹15,000 – ₹25,000 per month, depending on experience and capability.
Salary can be discussed based on practical experience, particularly in GeM, tenders, Tally and accounts.
