The Trainer Sourcing Executive is responsible for identifying, engaging and maintaining a strong network of trainers to support project requirements across locations, domains and timelines.

Working closely with the Project Management and Training Operations teams, the role will source suitable trainers, conduct initial screening, coordinate onboarding and ensure timely deployment.

A key requirement is the ability to source trainers across Tier-1 to Tier-4 cities, including locations where established trainer networks may be limited, while continuously building a dependable trainer pool for current and future requirements.

Key Responsibilities

1. Trainer Sourcing & Network Development

- Understand trainer requirements, including subject expertise, experience, location, language, availability and project timelines.
- Source trainers through Naukri, LinkedIn, WhatsApp communities, referrals, qualified networks and other relevant channels.
- Identify and engage suitable trainers across Tier-1, Tier-2, Tier-3 and Tier-4 cities.
- Build and maintain a strong network of trainers, facilitators and subject-matter experts across domains and geographies.
- Develop a ready pipeline of trainers for recurring and anticipated project requirements, not only immediate vacancies.
- Respond quickly to urgent or last-minute trainer requirements and replacements.

2. Screening & Deployment Coordination

- Conduct initial telephonic screening to assess trainer experience, expertise, communication skills, availability and suitability for specific assignments.
- Shortlist suitable profiles and coordinate further assessments, demonstrations or approvals where required.
- Communicate project expectations,



timelines, location and other assignment requirements to selected trainers.
- Coordinate documentation, onboarding and deployment formalities.
- Liaise with trainers and the Project Management team to ensure timely confirmation and smooth deployment.

3. Trainer Database & Pipeline Management

- Maintain an accurate and updated trainer database covering expertise, geography, languages, experience, availability, commercials, project history and feedback.
- Track trainer requirements from sourcing through to closure and deployment.
- Maintain visibility of trainer availability across locations and identify potential gaps in the trainer pool.
- Manage multiple sourcing requirements simultaneously and prioritise based on project urgency.

4. Reporting & Tracking

- Share regular reports requirements, sourcing progress, shortlisted trainers and closures.
- Track key sourcing metrics such as turnaround time, fulfilment rates, closures and pending requirements.
- Highlight sourcing challenges, skill shortages or geographic gaps that may impact project delivery.

Qualifications & Experience

- Graduate degree in any discipline.
- 2–3 years of relevant experience in recruitment, trainer sourcing, staffing, resource mobilisation or training operations.
- Experience sourcing trainers, facilitators, freelance professionals, contractual resources or project-based talent would be preferred.
- Strong communication, networking and relationship-building and follow-up skills.
- Strong self-management and ability to manage multiple requirements
- Comfortable using recruitment portals, LinkedIn, WhatsApp communities and other sourcing channels.
