Workflow Architect to the MD/CEO

About the Role
Vyom AEC is looking for a highly organized, proactive and technically sound Workflow architect to the MD/CEO who will work closely with the Managing Director/CEO and support him in managing day-to-day priorities, client coordination, drawings, meetings, schedules and key business activities.
The ideal candidate should have a strong background in Architecture or Civil Engineering, should be creative and should have excellent advanced AI skills in Claude/Open AI, coordination skills, and the ability to independently manage multiple priorities while working in a quick-paced environment.
This role requires someone who can understand technical drawings and project-related discussions while also effectively supporting the MD/CEO with creative, executive and administrative responsibilities.
Key Responsibilities
1. MD/CEO Support & Coordination
- Work closely with the MD/CEO on day-to-day design, business and project-related activities.
- Organize and prioritize the MD/CEO's schedule, meetings, appointments and commitments including attending meetings with him.
- Manage calendar, meeting schedules, reminders and follow-ups.
- Prepare meeting agendas, notes, presentations and other documents as required.
- Track important action items and ensure timely follow-up with relevant teams.
- Coordinate with internal departments and senior team members on behalf of the MD/CEO.
- Maintain confidentiality of sensitive business and client information.
2. Technical & Project Coordination
- Review, organize and coordinate architectural/engineering drawings and project documentation.
- Coordinate with architects, engineers, consultants and project teams for drawings and technical requirements.
- Assist the MD/CEO in reviewing project drawings, presentations and other technical documents.
- Follow up with teams regarding drawing revisions, submissions, approvals and deadlines.
- Maintain proper organization and tracking of important project documents.
- Maintain and update the drawing issue/revision tracker"
3. Client & External Coordination
- Coordinate client calls, meetings and discussions on behalf of the MD/CEO.
- Communicate with clients, consultants, vendors and other stakeholders professionally.
- Schedule client meetings and ensure all required documents/presentations are ready.
- Prepare meeting briefs and follow up on commitments and deliverables.
- Maintain professional relationships with key clients and stakeholders.
4. Meetings & Follow-Ups
- Attend important internal and external meetings with the MD/CEO when required.
- Record key discussion points, decisions and action items.
- Maintain an action tracker and follow up with respective stakeholders.
- Ensure closure of pending items within agreed timelines.
- Prepare and circulate minutes of meeting within 24 hours"
5. Executive & Business Support
- Assist the MD/CEO with presentations, reports, MIS and business-related documentation.
- Conduct basic research and compile information as required for management decisions.
- Coordinate special projects and assignments entrusted by the MD/CEO.
- Support business development,
client presentations and important company initiatives when required.
- Handle ad-hoc responsibilities and priority assignments from the MD/CEO.
- Use AI tools to speed up drafting of routine documents, summaries and reports
Required Skills & Competencies

Educational Qualification
Mandatory:
- Bachelor of Architecture (B.Arch )OR
B.Tech / B.E. in Civil Engineering
Experience
- 1–5 years of relevant professional experience.
- Experience in an Architecture, Engineering, Construction, PMC, Real Estate or AEC environment will be preferred.
- Candidates with prior experience working directly with a MD, CEO, Director, Principal Architect or senior leadership will be preferred.
Ideal Candidate The ideal candidate will be someone who combines technical understanding with executive coordination skills — capable of understanding drawings and project discussions while confidently managing the MD/CEO's calendar, meetings, client interactions, documentation and follow-ups. The role requires a mature, well-presented and highly dependable professional who can act as an effective bridge between the MD/CEO, internal teams, clients and external stakeholders. Comfortable working with digital tools and adapt recent software/AI tools as needed.
