Job Title: Outdoor Wedding Business Manager

About the Role

We're looking for an experienced and hands-on Business Manager to oversee the day-to-day operations of our outdoor wedding venue. This role blends event management, business operations, client relations, and vendor coordination to ensure every wedding runs smoothly from initial inquiry to the final send-off.

Key Responsibilities

Business & Operations

- Oversee overall business operations, budgeting, and P&L; for the venue
- Manage staffing, scheduling, and training for event-day teams (setup, coordination, breakdown crews)
- Maintain and improve operational systems (booking software, CRM, invoicing)
- Ensure compliance with permits, insurance, and local outdoor-event regulations
- Monitor weather contingency plans and backup logistics (tents, indoor alternatives, etc.)

Sales & Client Management

- Manage inbound inquiries, tours, and the sales pipeline from lead to signed contract
- Meet with couples to understand their vision and guide them through packages/pricing
- Serve as primary point of contact through the planning process
- Upsell add-on services (catering, rentals, florals, lighting)

Vendor & Event Coordination

- Build and maintain relationships with caterers, florists, rental companies, photographers, and officiants
- Coordinate vendor load-in/load-out schedules and site logistics




- Act as on-site manager or oversee on-site coordinators during events
- Troubleshoot day-of issues (weather, timeline shifts, vendor delays)

Marketing & Growth

- Support marketing efforts (social media, website updates, styled shoots, bridal shows)
- Track KPIs: bookings, revenue per event, client satisfaction, repeat referrals
- Identify opportunities to expand offerings (elopement packages, off-season events, corporate bookings)

Grounds & Facilities

- Coordinate landscaping, grounds maintenance, and facility upkeep to keep the venue wedding-ready
- Manage relationships with contractors for repairs, restrooms, power, and rentals infrastructure

Qualifications

- 3+ years in event management, hospitality, or venue operations (wedding industry preferred)
- Strong organizational and multitasking skills able to manage multiple weddings in various planning stages simultaneously
- Excellent communication and client-facing skills
- Comfortable working outdoors and on evenings/weekends (wedding season demands)
- Experience with budgeting, vendor negotiation, and P&L; management
- Proficiency with booking/CRM software (HoneyBook, Aisle Planner, etc.) a plus
- Valid driver's license; ability to be in office for setup/breakdown

Preferred

- Background in horticulture/landscaping oversight (for venues with gardens/grounds)
- Certification in wedding/event planning (e.g., WPIC, ABC)
- Experience with weather contingency planning for outdoor events
