VENDOR MANAGEMENT EXECUTIVETLF – The Luxury Florets

Location: Patel Nagar, Delhi

Job Type: Full time

Working Hours: 11:00 AM – 8:00 PM

Experience: Minimum 1 Year

Starting Salary: ₹20,000 per month

About TLF

TLF – The Luxury Florets is a luxury floral and gifting brand creating premium bouquets, hampers, bespoke arrangements and curated gifting experiences.

We are looking for a Vendor Management Executive who will take ownership of TLF's complete vendor network and procurement process.

This is a hands-on role for someone who can find the right vendors, negotiate the right prices, maintain strong relationships, ensure quality and make sure everything reaches TLF on time.

Key Responsibilities1. Vendor Management

- Manage TLF's complete vendor network across flowers, gifting, packaging, printing, accessories, logistics, fabrication, production and other requirements.
- Maintain strong and professional relationships with existing vendors.
- Maintain an updated database of vendors, products, prices, payment terms and delivery timelines.
- Regularly follow up with vendors regarding ongoing and upcoming requirements.

1. New Vendor Sourcing

- Continuously identify and develop new vendors and suppliers.
- Visit markets, wholesalers, manufacturers and suppliers to find better options.
- Source vendors based on quality, price, reliability and availability.
- Build multiple vendor options for important products to avoid dependency on a single supplier.
- Explore vendors outside Delhi NCR whenever required.
- Assist in sourcing manufacturers and suppliers for new TLF products and collections.

1. Purchasing & Procurement

- Handle day-to-day purchasing requirements for TLF.
- Collect quotations and compare rates from different vendors.
- Negotiate prices, minimum order quantities, payment terms and delivery timelines.
- Place purchase orders after internal approval.
- Ensure the correct quantity, specifications and quality are received.
- Keep track of all pending purchases and deliveries.

1. Vendor Negotiation





- Negotiate aggressively but professionally to achieve the best possible commercial terms.
- Regularly review vendor rates and identify opportunities for cost reduction.
- Develop long-term relationships that can help TLF receive better rates and priority during high-demand periods.
- Negotiate special rates for bulk and recurring purchases.

1. Quality Control

- Ensure all products and materials supplied meet TLF's quality standards.
- Check samples wherever required before placing larger orders.
- Coordinate replacement/refund/rectification for damaged or poor-quality products.
- Track vendors with recurring quality issues and take corrective action.

1. Delivery & Follow-Up

- Track every purchase from order confirmation to final delivery.
- Ensure materials reach TLF within the required timeline.
- Proactively follow up with vendors instead of waiting for delays.
- Immediately communicate any potential delay or shortage.
- Arrange alternatives whenever a vendor cannot fulfil a requirement on time.

1. Cost Control

- Maintain updated vendor rate sheets.
- Monitor changes in market prices.
- Compare vendors regularly instead of relying on the same supplier for every purchase.
- Find cost-effective alternatives without compromising TLF's quality standards.
- Help improve overall procurement margins.

1. Vendor Performance Management

Regularly evaluate vendors based on:
- Quality
- Pricing
- Delivery timelines
- Reliability
- Responsiveness
- Product availability
- Replacement/support
- Payment terms

Maintain a list of preferred, backup and problematic vendors.

1. Internal Coordination





- Coordinate with the TLF sales, operations, production and creative teams regarding requirements.
- Understand upcoming orders and prepare procurement accordingly.
- Ensure materials are available before production deadlines.
- Handle urgent sourcing requirements for bespoke and high-value orders.

- Good with Excel/Google Sheets

- Willing to take ownership rather than waiting for instructions

Preferred Background Candidates with experience in any of the following industries will be preferred:

Floral | Gifting | Events | Weddings | Hospitality | Luxury Retail | Packaging | Procurement | Sourcing | Manufacturing | E-commerce

Strong knowledge of Delhi/NCR markets and local vendors will be an added advantage.

- Availability of materials
- Development of new vendors
- Speed of resolving vendor issues
- Maintaining accurate vendor and purchase records

Important This is not a desk-only coordination job.

The candidate should be comfortable with calling vendors, negotiating rates, visiting markets, finding new suppliers, checking products, coordinating deliveries and solving problems on the ground.
