Position: Travel Manager
Location: The Lalit Corporate Office, New Delhi
Department: Corporate / Administration
Reporting To: CEO
Employment Type: Full-Time
About the Role
We are looking for an experienced and detail-oriented Travel Manager to manage and coordinate domestic and international travel requirements for senior management, corporate teams, and other authorized employees across The Lalit Hotels & Resorts.
Key Responsibilities
1. Travel Planning & Coordination Employees & Directors
- Plan and coordinate end-to-end travel arrangements for employees and Directors.
- Prepare detailed travel itineraries based on business requirements.
- Manage last-minute changes, cancellations, rescheduling, and other travel-related requirements.
- Ensure smooth and timely travel arrangements from departure to arrival.
1. Air Ticketing & Hotel Reservations Domestic & International
- Manage domestic and international flight bookings as per approved travel requirements.
- Arrange hotel accommodations based on company policy, preferred properties, location, and budget.
- Coordinate airport transfers, local transportation, and other ground arrangements.
- Ensure timely confirmation of all bookings and maintain proper travel records.
1. International Visa Knowledge
- Coordinate and support the visa application process for international business travel.
- Ensure required visa documentation is complete and submitted within the required timelines.
- Maintain updated knowledge of visa requirements, processes, and documentation for key international destinations.
- Coordinate with travel agents,
visa consultants, embassies, and consulates as required.
1. Corporate Travel Management & Vendor Management
- Manage the overall corporate travel process in accordance with organizational requirements.
- Coordinate with travel agencies, airlines, hotels, transport providers, and other travel vendors.
- Negotiate and monitor corporate rates and service agreements where applicable.
- Evaluate vendor performance and ensure timely resolution of service issues.
- Identify opportunities for travel cost optimization without compromising service quality.
1. Expense, MIS Management & Reporting
- Maintain accurate records of all travel bookings and expenses.
- Monitor travel expenses against approved budgets and travel policies.
- Prepare regular MIS and travel-related reports for management.
- Track refunds, cancellations, credit notes, unused tickets, and other travel adjustments.
- Coordinate with the Finance team for invoice verification, reconciliation, and payment processing.
1. Stakeholder Management
- Act as the primary point of contact for employees and Directors for travel-related requirements.
- Coordinate effectively with HR, Finance, Administration, Executive Office, and other departments.
- Provide prompt assistance and solutions for travel-related queries and emergencies.
- Maintain a high level of professionalism, confidentiality, and discretion while handling travel arrangements for senior management.
1. Travel Policy & Compliance
- Ensure all travel arrangements comply with the company's approved Travel Policy and authorization matrix.
- Ensure appropriate approvals are obtained before making bookings.
- Maintain proper documentation and records for audit and compliance purposes.
- Stay updated on relevant airline, hotel, visa, immigration, and travel regulations.
Key Skills & Competencies
- Robust knowledge of domestic and international travel arrangements.
- Excellent knowledge of airline schedules, fare structures, hotel bookings, and travel processes.
- Good understanding of visa and immigration requirements.
- Strong negotiation and vendor management skills.
- Excellent communication and interpersonal skills.
- Ability to handle multiple travel requests and last-minute changes.
- Strong problem-solving and crisis management skills.
- Proficiency in MS Office, particularly Excel and Outlook.
- Experience with corporate travel booking platforms/GDS will be an advantage.
Education & Experience
- Graduate degree in Travel & Tourism, Hospitality, Business Administration, or a related field.
- 58 years of relevant experience in corporate travel management, preferably in a large organization, hospitality group, or travel management company.
