Key Responsibilities

1. Corporate Travel & Visa Management Primary Responsibility

- Manage end-to-end domestic and international travel arrangements for employees, management, and business visitors.
- Handle flight, hotel, cab, airport transfer, and other transportation bookings.
- Prepare and maintain detailed travel itineraries and travel schedules.
- Coordinate with travel agencies, airlines, hotels, cab/transport vendors, and other travel service providers.
- Handle travel cancellations, rescheduling, refunds, changes, and last-minute travel requirements.
- Manage visa applications and documentation for employees, management, and business visitors.
- Coordinate with visa consultants, travel agents, embassies/consulates, and other relevant authorities as required.
- Maintain employee passport, visa, travel, and related documentation records.
- Track visa validity, passport expiry, and other travel-related requirements.
- Ensure timely completion of travel and visa documentation.
- Maintain travel expenses, invoices, booking confirmations, and other related records.
- Provide travel support to employees throughout the travel process and resolve travel-related issues promptly.
- Support international business travel including travel planning, visa requirements, accommodation, local transportation, and itinerary coordination.

2. Executive Support & Calendar Management Secondary Responsibility

- Manage management calendars, appointments, meetings, and schedules.
- Coordinate meeting invitations, reminders, meeting rooms, online meeting links, and other meeting requirements.
- Align management travel schedules with meetings and appointments.




- Coordinate travel and meeting schedules to ensure smooth execution of management commitments.
- Provide general executive support as required.

3. Guest & Front Office Management Secondary Responsibility

- Coordinate travel, accommodation, airport transfers, meeting schedules, and hospitality arrangements for official visitors and business guests.
- Greet and assist visitors, clients, and employees professionally.
- Manage incoming/outgoing calls, correspondence, courier services, and visitor records.
- Ensure a professional and welcoming front-office environment.

4. Office Administration & Facility Management Secondary Responsibility.

- Manage management calendars, appointments, meetings, and schedules.
- Coordinate meeting invitations, reminders, meeting rooms, online meeting links, and other meeting requirements.
- Align management travel schedules with meetings and appointments.
- Coordinate travel and meeting schedules to ensure smooth execution of management commitments.
- Provide general executive support as required.

5. Events & Employee Support Secondary Responsibility

- Coordinate office events, celebrations, employee engagement activities, meetings, and gatherings.
- Coordinate venue, catering, logistics, vendors, materials, and guest arrangements.
- Support HR and other departments with employee onboarding and general administrative requirements.




- Coordinate official visitors, business guests, and management requirements.
- Handle other administrative responsibilities as assigned.

Desired Skills & Competencies
- Strong hands-on experience in corporate travel booking and coordination.
- Valuable knowledge of domestic and international travel processes.
- Strong experience in visa application and travel documentation management.
- Experience in coordinating with travel agencies, airlines, hotels, and transport vendors.
- Good calendar and executive support skills.
- Strong vendor coordination and follow-up skills.
- Good knowledge of general office administration and facility management.
- Proficiency in MS Office, Outlook, Excel, and calendar management tools.
- Good spoken and written English.
- Knowledge of Hindi and Kannada will be an advantage.
- Strong communication and interpersonal skills.
- Well-organized, proactive, detail-oriented, and able to multitask.
- Ability to handle urgent travel requirements and work under time-sensitive situations.
- Ability to work independently with minimal supervision.
- Professional, presentable, service-oriented, and responsive approach.

Key Requirement The candidate should have strong hands-on experience in corporate travel management, including domestic and international bookings, visa coordination, travel documentation, itinerary planning, and coordination with travel agencies and service providers. The role will primarily focus on Travel Desk and Visa Management, with secondary responsibilities in Executive Support, Office Administration, Front Office, Facility Management, and Events.
