About the Role:

Beatit Entertainment is looking for a Manager / Executive – Tender Costing & Vendor Management to handle tender costing, BOQ preparation, vendor sourcing, negotiations, and procurement for our events, sports, entertainment, and corporate projects.

Key Responsibilities:

- Study tender documents, scope of work, and technical requirements and prepare accurate BOQs and cost estimates.
- Coordinate with Operations, Production, Creative, and BD teams to gather costing inputs.
- Source and coordinate with vendors for fabrication, branding, LED, sound, lighting, AV, logistics, manpower, and other event requirements.
- Obtain and compare vendor quotations and negotiate competitive rates and commercial terms.
- Maintain and update a strong vendor database and rate records.
- Monitor procurement costs against approved budgets and identify cost-saving opportunities.
- Coordinate with vendors to ensure timely delivery, quality, and project requirements.




- Identify and resolve vendor-related issues during project execution.
- Ensure tender submissions and commercial documents are accurate, compliant, and submitted within deadlines.

Requirements:

- Graduate/Diploma in Business Administration, Procurement, Supply Chain, Event Management, or related field.
- 4–6+ years of relevant experience in tender costing, procurement, vendor management, or event production.
- Prior experience in an Event Management, Exhibition, Production, or Experiential Agency preferred.
- Solid knowledge of event production costing, BOQs, vendor sourcing, and rate analysis.
- Proficiency in MS Excel and cost analysis.
- Strong negotiation, analytical, and vendor management skills.
- Ability to manage multiple projects and work under tight deadlines.

Preffered:

- Experience with government/PSU/corporate tenders.
- Knowledge of fabrication, branding, LED, lighting, sound, stage, logistics, and other event production elements.
- Existing vendor network in Delhi/NCR will be an advantage.
