The Exemplar Harvesting SME is responsible for identifying, reviewing, and finalizing representative business documents from SharePoint and other approved document repositories to support Microsoft Purview Auto Retention Labels.

The role requires robust understanding of Global Records Schedules, retention requirements, business processes, and document context, so that the right positive and negative exemplar documents are selected for training data preparation. This is a quality-driven role that requires judgment, persistence, stakeholder engagement, and the ability to maintain expected harvesting velocity while managing ambiguity, mislabelling, and business pushback.

Key Responsibilities:

- Interpret Global Records Schedule definitions, retention requirements, and business process context to identify suitable exemplar documents.
- Navigate SharePoint sites, libraries, folders, and other approved repositories to locate relevant business documents across different content sources.
- Identify and prepare both positive and negative exemplar documents required for training data preparation and classifier readiness.




- Review document context, metadata, and content indicators to assess whether the document aligns with the intended retention label or business process.
- Detect potential mislabelling, ambiguous records, incorrect samples, or low-quality documents and document the rationale for inclusion or exclusion.
- Work with Business SMEs and project stakeholders to validate assumptions, resolve classification questions, and confirm final exemplar sets.
- Manage pushback or uncertainty professionally by bringing options, evidence, and clear recommendations for finalization.
- Maintain harvesting trackers, inventories, decisions, status dashboards, and evidence trails to support quality control and reporting.
- Maintain agreed delivery velocity while protecting classification quality and escalating blockers early when access, scope, or validation is delayed.
- Support retention label mapping, quality review, and readiness activities for Microsoft Purview Auto Retention Labels.
