JOB SUMMARY
We are looking for a dynamic and experienced Facility Manager – Soft Services & M&E; to manage integrated facility operations across multiple sites. The candidate will be responsible for Soft Services, M&E; operations, manpower management, client and vendor coordination, statutory compliance, maintenance, audits, budgeting, cost control and overall facility performance. The ideal candidate should have strong leadership and communication skills, hands-on technical knowledge, and the ability to manage both people and technical operations while maintaining service quality, safety, compliance and client satisfaction.
KEY RESPONSIBILITIES
1. SOFT SERVICES & MANPOWER MANAGEMENT
- Manage day-to-day Soft Services operations across multiple sites.
- Plan and allocate manpower according to site requirements.
- Monitor attendance, shift rosters, leave records and manpower deployment.
- Plan manpower requirements for recent sites and mobilization/renewal projects.
- Monitor housekeeping and other soft service activities.
- Conduct regular training, grooming and performance reviews of staff.
- Ensure proper utilization of manpower and resources.
- Address staff-related operational issues and maintain discipline at sites.
2. M&E; OPERATIONS & MAINTENANCE
- Monitor operation and maintenance of electrical, mechanical, HVAC and utility systems.
- Supervise preventive, predictive and breakdown maintenance activities.
- Manage equipment such as UPS, transformers, ACB, MCCB, MCB, ELCB, PAC/DAC/CAC units and other M&E; equipment.
- Coordinate maintenance of DG, chiller, firefighting and building utility systems.
- Monitor electrical distribution, load analysis, control systems and energy consumption.
- Troubleshoot day-to-day technical and facility-related issues.
- Ensure timely completion of annual, monthly and daily maintenance activities.
- Coordinate with AMC service providers for preventive maintenance and breakdowns.
- Maintain equipment records, maintenance schedules and AMC documentation.
- Coordinate with landlord teams for common building services and utilities.
3. CLIENT & VENDOR MANAGEMENT
- Maintain strong professional relationships with clients and stakeholders.
- Attend client meetings and resolve operational and technical concerns promptly.
- Conduct regular facility walkthroughs with clients and internal teams.
- Coordinate with vendors for material, services, AMC and breakdown requirements.
- Negotiate with vendors and support procurement and cost-effective service delivery.
- Monitor vendor performance and pending snag points.
- Conduct regular Minutes of Meetings with vendors and track closure of action points.
- Prepare quotations, proposals, presentations and commercial comparisons as required.
4. AUDITS,
COMPLIANCE & SAFETY
- Conduct regular site visits, inspections, surprise audits and night rounds.
- Prepare and maintain internal and external audit documentation.
- Ensure compliance with statutory requirements, licenses, AMC, insurance and other applicable regulations.
- Ensure compliance with EHS, ISO, BCP and facility management procedures.
- Prepare and monitor General, Electrical, Height and Hot Work permits.
- Manage FM Global requirements including Hot Work Permit, Red Tag and Lockout/Tagout (LOTO) procedures.
- Coordinate fire and emergency mock drills.
- Ensure proper maintenance and readiness of fire detection, firefighting and safety equipment.
- Promote safe work practices and conduct safety awareness/training programs.
- Ensure all site staff follow SOPs and safety procedures.
5. ASSET & MATERIAL MANAGEMENT
- Maintain accurate asset registers and equipment records.
- Manage asset tagging, reconciliation and updating.
- Monitor inventory, stores and material consumption.
- Coordinate procurement of M&E; spares, electrical, plumbing, carpentry and other facility materials.
- Ensure optimum utilization of manpower, materials and equipment.
- Prepare consumption comparison and justification reports.
- Identify opportunities for low-cost initiatives and operational improvements.
6. BUDGETING & COST CONTROL
- Assist in preparation and monitoring of facility budgets.
- Control manpower, material and operational costs.
- Monitor monthly operational expenses.
- Analyze consumption and identify cost-saving opportunities.
- Prepare low-cost initiative, cost justification and consumption comparison reports.
- Support resource planning and optimization across sites.
7. REPORTING & MIS
- Prepare and submit regular MIS reports covering:
- Manpower status
- Attendance and deployment
- Maintenance activities
- Breakdown reports
- Audit findings
- Compliance status
- Material consumption
- Vendor performance
- Cost and budget status
- Client complaints and resolutions
- Site performance trends
- Maintain professional and timely email communication with clients, vendors and management.
- Escalate operational risks, technical issues and red flags to senior management proactively.
8. FACILITY IMPROVEMENT & CLIENT SATISFACTION
- Collect feedback from clients, business units and employees regarding facility services.
- Drive continuous improvement in facility operations and service quality.
- Conduct FM walkthroughs with the team and identify improvement areas.
- Monitor Indoor Air Quality standards and other facility performance parameters.
- Develop and implement SOPs and process improvements.
- Support hospitality services, events and recent site mobilization.
- Stay updated with facility management market trends and industry best practices.
TECHNICAL REQUIREMENTS
- Strong knowledge of integrated Facility Management operations.
- Good understanding of Electrical, Mechanical, HVAC and Building Maintenance systems.
- Hands-on knowledge of electrical distribution and utility systems.
- Knowledge of UPS, transformers, DG, HVAC, fire & safety systems and other M&E; equipment.
- Knowledge of preventive and breakdown maintenance.
- Knowledge of Soft Services and housekeeping operations.
- Knowledge of statutory compliance, permits, audits and safety procedures.
- 33kV Electrical License from Telangana Electrical Licensing Board is preferred/required for relevant technical responsibilities.
- Experience in handling large facilities/multiple sites is preferred.

- Willingness to travel for site visits, audits and night rounds.
PREFERRED PROFILE
- Graduate/Post Graduate; B.Tech in Electrical/Mechanical preferred.
- 6–12 years of relevant experience in Facility Management / Integrated Facility Management.
- Experience managing both Soft Services and M&E; operations.
- Experience handling clients, vendors, manpower and large facility operations.
- Candidates who can join within 15–30 days will be preferred.

This version positions the role as one integrated senior Facility Manager, rather than making it look like two separate jobs combined.
Pay: ₹22,510.17 - ₹79,673.00 per month
