The Wedding Planner is responsible for planning, coordinating, and executing wedding events from initial client consultation to final event delivery. This role ensures client satisfaction through effective communication, budget management, vendor coordination, lead generation, and flawless execution of wedding dcor and logistics.
Key Responsibilities
- Generate new business leads through client referrals, site visits, networking, and digital platforms.
- Follow up on inquiries and convert leads into confirmed wedding projects.
- Conduct initial consultations with clients to discuss wedding packages, type of wedding, and budget.
- Assist clients in planning entire weddings or specific wedding dcor activities.
- Present suitable dcor designs and concepts to clients.
- Analyze client requirements and execute dcor accordingly.
- Assist team members in analyzing resources and gathering information from various sites.
- Obtain quotations from vendors and ensure budget changes are incorporated into wedding plans.
- Prepare PowerPoint presentations for client meetings.
- Prepare and share quotations after client meetings.
Obtain quotation approvals from management before sharing with clients.
- Coordinate with management for final pricing, discounts, and commercial terms.
- Collect payments from clients for services provided.
- Discuss wedding logistics with clients and negotiate vendor contracts.
- Conduct event site recces (rekhi) with the team to assess venue layout, logistics, and dcor requirements.
- Create detailed timelines and floor plans.
- Ensure smooth execution of wedding-day activities.
- Provide complete event-related information to clients.
- Manage each event from lead stage to execution while maintaining continuous client communication.
- Lead, guide,
and supervise the wedding planning and execution team.
- Conduct regular team briefings and assign responsibilities for each event.
- Monitor on-site production activities and supervise cleaning and wrap-up processes.
- Prepare checklists for all activities and ensure completion.
- Maintain strong working relationships with vendors and venues.
Conduct short-term and long-term planning for wedding events.
- Resolve guest complaints within authority or escalate to management when required.
- Ensure regular attendance and availability on weekends based on event schedules.
- Develop long-term client relationships through consistent communication and customer service.
- Plan and manage multiple events simultaneously.
- Travel for business meetings as required.
