We are looking for a responsible and organized HR & Administration Executive to manage day-to-day HR and administrative activities at our automobile dealership.
The ideal candidate should have a minimum of 1 to 2 years of experience in HR, preferably in a car showroom, automobile dealership, or related industry. The candidate will be responsible for recruitment, employee records, attendance, payroll coordination, employee engagement, office administration, and ensuring smooth day-to-day administrative operations.
Key HR Responsibilities
- Handle end-to-end recruitment for Sales, Service, Customer Relations, Technicians, Drivers, and other dealership positions.
- Source candidates through job portals, social media, references, walk-ins, and other recruitment channels.
- Coordinate interviews, selection, reference checks, and joining formalities.
- Maintain updated employee personal files, HR records, and HR databases.
- Manage employee attendance, leave, late-coming, absenteeism, and shift records.
- Handle employee joining, confirmation, transfer, promotion, resignation, and exit formalities.
- Prepare and maintain HR reports related to manpower, attendance, recruitment, leave, and employee productivity.
- Address employee queries and coordinate with department heads for resolution of HR-related matters.
- Coordinate employee training, induction, meetings, and engagement activities.
- Maintain confidentiality of employee and company information.
- Assist in ensuring compliance with applicable labour laws and statutory requirements.
Key Administration Responsibilities
- Manage the day-to-day administrative activities of the showroom.
- Coordinate office requirements including stationery, housekeeping, security, pantry, uniforms, and other facility requirements.
- Maintain records of administrative expenses, office supplies, assets, and equipment.
- Coordinate with vendors, service providers, housekeeping, security, maintenance, and other external agencies.
- Monitor the cleanliness, maintenance, and general upkeep of the showroom and office premises.
- Coordinate repairs and maintenance of office equipment, furniture, electrical systems, ACs, and other facilities.
- Ensure adequate availability of stationery, printing materials, employee uniforms, ID cards, and other office requirements.
- Maintain records of company assets and assist in asset allocation and tracking.
- Coordinate official correspondence, courier, documentation, and other administrative requirements.
- Assist management in organizing meetings, events, employee activities, and dealership functions.
- Maintain proper administrative files, registers, records, and documentation.
- Coordinate with various departments to ensure smooth day-to-day operations.
- Monitor and follow up on administrative service contracts and vendor requirements.
- Assist management in implementing company rules, procedures, and workplace discipline.
- Handle any other HR and administrative responsibilities assigned by management.
Required Skills
- Good communication and interpersonal skills.
- Strong organizational and coordination abilities.
- Good knowledge of HR and administrative procedures.
- Working knowledge of MS Office, especially MS Excel and Word.
- Ability to maintain accurate records and prepare reports.
- Good employee-handling and problem-solving skills.
- Ability to coordinate with multiple departments, vendors, and service providers.
- Ability to maintain confidentiality and handle sensitive information.
- Professional attitude and ability to work in a rapid-paced automobile dealership environment.
Preferred Candidate Profile
- Minimum 1 year of experience in HR & Administration.
- Experience in a car dealership, automobile company, automotive workshop, or similar organization will be preferred.
- Should have practical knowledge of recruitment, attendance, payroll coordination, employee documentation, and administration.
- Should be proactive, well-organized, and capable of independently handling routine HR & administrative activities.
Pay: From ₹25,000.00 per month
