Key Responsibilities – School Receptionist / Front Office Executive The School Receptionist will be the first point of contact for parents, students, visitors and vendors and is expected to maintain a professional, warm and well-organised front office. The role requires excellent communication skills, discipline, attention to detail and strong coordination with all school departments.
Front Office & Reception Management
- Manage the school reception/front desk efficiently throughout working hours.
- Welcome and assist parents, students, visitors, vendors and guests in a courteous and professional manner.
- Understand the purpose of each visit and guide visitors to the appropriate department/person.
- Ensure the reception area is always clean, organised and presentable.
- Maintain visitor registers, visitor passes and appointment records.
- Coordinate with Security regarding visitor entry, exit and access to the school premises.
- Ensure visitors do not enter restricted/student areas without appropriate permission.
Telephone & Communication Management
- Attend all incoming telephone calls promptly and professionally.
- Understand the caller's requirement and connect them to the appropriate department.
- Take accurate messages when concerned staff members are unavailable and ensure timely communication.
- Handle routine enquiries regarding school timings, admissions, appointments, events, holidays, transport and general school information.
- Ensure no important parent enquiry, complaint or request is left unattended.
- Maintain confidentiality while handling sensitive information.
Parent & Student Assistance
- Act as the first point of contact for parents visiting or contacting the school.
- Assist parents with routine queries and direct specific matters to Admissions, Accounts, Academics, Transport or Administration.
- Coordinate appointments between parents and the Principal, Coordinators, Teachers and other departments.
- Handle parent concerns patiently and professionally without arguments or inappropriate commitments.
- Maintain records for late arrivals, early departures and authorised student pickups as per school policy.
- Coordinate with the concerned team before allowing students to leave the campus during school hours.
Admissions Support
- Attend to admission-related walk-ins and telephone enquiries.
- Capture complete details of every prospective parent/student enquiry.
- Enter admission enquiries accurately into the school's CRM/ERP or prescribed system.
- Immediately connect prospective parents with the Admissions Team.
- Follow the prescribed process to ensure zero admission lead leakage.
- Assist with scheduling school tours, counselling sessions, assessments and admission appointments.
- Support the Admissions Team during peak admission periods, open houses and school events.
- Receptionist must not independently commit admission, fee discounts, concessions or special approvals without authorisation.
Administrative & Record-Keeping Responsibilities
- Maintain accurate front-office records, registers and documentation.
- Receive and record incoming letters, couriers, parcels and official documents.
- Ensure documents/couriers are handed over to the appropriate department promptly.
- Maintain records of outgoing documents wherever required.
- Assist in basic data entry, printing, scanning, photocopying and document organisation.
- Update relevant information in the ERP/CRM accurately and on time.
- Maintain appointment calendars and coordinate meetings for school leadership wherever assigned.
Internal Coordination
- Coordinate closely with Admissions, Accounts, Administration, Transport, Security, Academic Coordinators and the Principal's Office.
- Ensure parent/student requests reach the appropriate department without unnecessary delays.
- Follow up internally on pending queries where required and communicate updates appropriately.
- Support coordination during school functions, PTMs, orientations, examinations, competitions and special events.
Professional Conduct & Confidentiality
- Maintain a polite, calm and professional attitude at all times, including while dealing with difficult situations.
- Maintain strict confidentiality regarding students, parents, staff, school operations and management information.
- Avoid discussing internal school matters with parents, visitors or unauthorised persons.
- Never provide unverified information or make commitments on behalf of the Management.
- Follow school policies, reporting structures and escalation procedures.
- Maintain appropriate professional appearance and grooming standards.
Overall Expectation The receptionist is responsible for ensuring that every parent, student and visitor receives prompt assistance and a positive first impression of the school. The candidate should take ownership of the front office and ensure that no call, visitor, enquiry, admission lead, document or important communication is missed or left unattended. Pay: ₹30,000.00 - ₹32,000.00 per month
