Position Summary The SaaS Management Administrator is responsible for the day-to-day administration and governance of applications managed through the Calero SaaS Management platform. The role coordinates user lifecycle activities, policy and configuration reviews, license-utilization outreach, response follow-up, and deprovisioning actions across an initial portfolio of approximately 20 applications.

This position works alongside application owners and the Development Tools team to maintain accurate application and user information, support automated inventory integrations, resolve exceptions, and establish repeatable operational practices for ongoing SaaS governance.

Role Purpose

- Ensure the right users retain the right application access and inactive or unneeded access is addressed promptly.
- Operate Calero email campaigns and follow-up workflows that support access validation, license reviews, and user confirmations.
- Review application policy settings and governance rules on a recurring, application-by-application basis.
- Support accurate SaaS inventory data, license-management decisions, and business-as-usual governance processes. Key Responsibilities 1. User Administration and Lifecycle Management

- Add, update, and remove users in Calero SaaS Management in accordance with approved requests and application-owner decisions.
- Coordinate user deprovisioning and license reclamation for inactive, departed, duplicate, or no-longer-authorized users.

- Maintain user roles, access records, application ownership details, and supporting documentation.
- Track exceptions and escalate decisions that require application-owner, security, or leadership review.

1. Email Campaign Administration

- Create, launch, and monitor Calero email campaigns for license-utilization reviews, access confirmation, ownership validation, and related governance activities.

- Review campaign responses, maintain completion status, and follow up with users, managers, and application owners.
- Document nonresponses, disputed access, and requested changes, then route the appropriate action for approval or execution.

- Maintain reusable campaign templates and a consistent communications cadence.

1. Application Policy and Configuration Reviews

- Review approximately one application per business day during the initial rollout, covering the initial portfolio of roughly 20 applications.

- Validate policy settings, user and license data, application ownership, role definitions, and review criteria.
- Identify policy gaps, data-quality issues, inactive-license opportunities, and configuration questions.

- Record findings, decisions, remediation actions,



and follow-up owners in the team s tracking process.

1. Inventory, Integration, and Operational Monitoring

- Coordinate with the Development Tools team on automated SaaS inventory feeds and application-specific integrations.

- Monitor Calero audit logs and processing history for import failures, incomplete data, or other exceptions when automated notifications are not available.
- Validate that application inventory files and data loads meet the required format and processing expectations.

- Open and track support items with Calero or internal technical teams when platform, integration, or data issues occur.

1. Governance, Reporting, and Documentation

- Provide regular status updates on application reviews, campaign participation, user changes, exceptions, and license-recovery actions.

- Maintain standard operating procedures, application-specific notes, ownership records, and decision logs.
- Participate in operational and governance reviews with application owners, technical partners, and project stakeholders.

- Support transition to business-as-usual operations as additional applications are onboarded.

- Calero support and account team: platform support, configuration questions, training, and issue escalation.
- Technology and FinOps stakeholders: license governance, reporting, cost optimization, and operational oversight.

Required Qualifications

- Experience in SaaS administration (Expertise on Calero is preferred), application support, software asset management, IT operations, access administration, or a related operational role.




- Experience in integrating SaaS applications using various techniques such as API or custom automation
- Demonstrated ability to manage user-account changes, follow structured approval processes, and maintain accurate records.
- Solid written communication and follow-up skills for managing campaigns and stakeholder responses.
- Ability to organize recurring work across multiple applications and manage exceptions through closure.
- Comfort working with application owners, technical teams, vendors, and business stakeholders.
- Working proficiency with Microsoft 365 tools, particularly Outlook, Excel, Teams, and shared documentation.

Preferred Qualifications

- Experience with Calero SaaS Management or another SaaS-management or software-asset-management platform.
- Familiarity with software licensing, application governance, access reviews, and license reclamation.
- Experience monitoring file-based or SFTP integrations, audit logs, processing histories, or data-quality exceptions.
- Understanding of identity and access management, deprovisioning controls, and role-based access concepts.
- Experience documenting standard operating procedures and recurring governance processes.

Success Measures

- Application reviews are completed consistently against the agreed priority and cadence.
- Campaign responses and outstanding follow-ups are accurately tracked through closure.
- Approved user additions, changes, and deprovisioning actions are completed and documented.
- Application policy settings, ownership, and user records remain current and supportable.
- Inactive or unnecessary licenses are identified and routed for timely action.
- Integration and import exceptions are detected, documented, and coordinated with the appropriate technical or vendor team.
- Stakeholders receive clear status reporting and escalation visibility. Role Boundaries and Decision Rights

The administrator executes approved operational actions and maintains the governance workflow. Application owners, security partners, and leadership retain decision authority for access exceptions, policy changes, material risk acceptance, and application-specific business decisions. Technical configuration or automation work is coordinated with the Development Tools team and other designated technical owners. Initial Focus The initial focus is to establish a repeatable operating model across approximately 20 applications, review one application per business day where practical, and build the documentation, campaign routines, user-administration practices, and technical partnerships needed to scale the Calero SaaS Management program.
