SALARY
Salary is negotiable and will be based on the candidate’s experience, garment-industry knowledge, vendor network, current compensation and previous responsibilities.
Exceptional candidates with proven experience in reducing purchasing costs, developing alternative vendors, controlling stores and preventing production stoppages will be considered appropriately.
JOB SUMMARY
UK Textiles is looking for an experienced Purchase, Accessories and Stores Manager for its knitwear export operations in Tiruppur.
The person will be responsible for purchasing garment accessories and other order materials at the right price and ensuring that everything reaches the factory before production is affected.
The manager will lead the existing purchase and store employees. The person must introduce a proper system for purchase requests, quotations, purchase orders, material receipt, stock, material issue and vendor follow-up.
This is a senior and practical position. We need someone who knows garment accessories, Tiruppur suppliers, price negotiation, alternative-vendor development and store control.
The main objective is simple: production lines must not stop because materials were ordered late, purchased incorrectly or not followed up properly.
KEY RESPONSIBILITIES
PURCHASE AND MATERIAL PLANNING
- Study the order plan, bill of materials and production dates Prepare a material requirement and purchasing plan for every order Ensure yarn, trims, accessories and packing materials are available before production Purchase sewing thread, labels, buttons, snaps, zippers, elastics, tapes, cords, drawcord tips, interlining, hangtags, stickers, polybags, cartons, hangers and other garment accessories Follow up yarn purchase and delivery according to approved specifications Coordinate with merchandising, planning, fabric, production, quality and accounts departments Check shortages every day and report any material that can stop production Give advance warning instead of waiting until the production line stops Control urgent purchases and identify why the urgent requirement occurred
VENDOR SOURCING AND NEGOTIATION
- Maintain a strong supplier network in Tiruppur and other required locations Identify and approve alternative suppliers for important materials Avoid unnecessary dependence on only one vendor Obtain competitive quotations before placing orders Compare price, quality, lead time, payment terms and supplier performance Negotiate better prices, credit periods, delivery terms and minimum quantities Develop current vendors without affecting quality or buyer requirements Maintain an approved-vendor list and vendor performance record Ensure employees do not select suppliers without proper comparison and approval Visit suppliers when required to check capacity and solve delivery problems Take immediate action against repeated delay, poor quality or incorrect supply
PURCHASE CONTROL
- Ensure every purchase starts with an approved purchase request Issue clear purchase orders containing specification, quantity, price and delivery date Do not allow verbal or undocumented purchases except approved emergencies Ensure buyer-nominated and technically approved materials are purchased correctly Maintain a proper comparison statement for open-market materials Monitor purchase prices and report major price differences Prevent duplicate purchases, excess ordering and unauthorised buying Verify supplier bills against the purchase order,
receipt and approved price Maintain proper purchase records in FiberPro ERP and Excel
STORES AND INVENTORY CONTROL
- Take responsibility for yarn, accessories, packing-material and related stores Manage all existing purchase and store employees Divide responsibilities clearly among inward, outward, yarn, accessories and sourcing staff Ensure every incoming material is counted, checked and entered on the same day Ensure GRN, inward entry, challan and supplier documents are completed correctly Arrange quality inspection before material is released for production Store materials style-wise, order-wise, colour-wise and lot-wise Maintain proper identification and traceability of every material Control material issue only against authorised requisitions Maintain complete records of material sent to and received from job-work units Control delivery challans, gate passes, acknowledgements and pending returns Conduct regular cycle counts and monthly physical stock verification Investigate stock differences immediately Prevent negative stock, missing stock and unrecorded material movement Report slow-moving, excess, damaged and dead stock Ensure certified materials are properly identified and kept separately Maintain a clean, organised and secure store
TEAM MANAGEMENT
- Lead, train and monitor purchase and store employees Set daily responsibilities and deadlines for every team member Review pending purchases and shortages every morning Ensure employees follow company systems and do not work only through personal methods Build a department that can work without continuous promoter follow-up Submit clear daily and weekly reports to management Escalate critical shortages and supplier failures immediately Coordinate professionally with old and new employees Recommend training, responsibility changes or disciplinary action when required
DAILY REPORTING The manager must provide a daily report showing:
- Materials required during the next 30 days Materials not yet ordered Purchase orders awaiting delivery Materials received and pending inspection Shortages that may stop cutting, sewing, processing or packing Delayed vendors and revised delivery dates Urgent purchases Price changes Stock differences Materials lying with job-work vendors Decisions required from management
CANDIDATE REQUIREMENTS
- Minimum 10 years of experience in garment or textile purchasing and stores Preferably 12–15 years of total experience Minimum 4 years in a Purchase Manager, Accessories Manager, Stores Manager or similar leadership position Knitwear garment-export experience is compulsory Strong knowledge of garment trims, accessories and packing materials Good knowledge of Tiruppur accessory suppliers and local sourcing Proven ability to find alternative vendors and negotiate better prices Experience managing both purchasing and store operations Experience leading long-serving and experienced employees Knowledge of yarn procurement and yarn-store control is preferred Knowledge of purchase orders, GRN,
stock reconciliation and physical verification Experience using garment ERP software and Excel FiberPro ERP experience will be an advantage Ability to read bills of materials and production plans Good spoken Tamil and working English Strong follow-up, documentation and problem-solving skills Must be willing to work full-time from the Tiruppur factory
KEY RESPONSIBILITY SEPARATION The manager will control yarn purchasing, price negotiation, delivery and stock. However, yarn count, composition, quality and technical suitability must be approved by the authorised fabric or knitting technical person before purchase.
The manager cannot change an approved material, specification or supplier only to reduce price without technical and quality approval.
REPORTING AND AUTHORITY The Senior Manager – Purchase, Accessories & Stores will report to the Factory Operations Head/COO and management.
The manager will have authority to:
- Allocate work to all purchase and store employees Ask for complete purchase and stock records Obtain quotations from new suppliers Negotiate commercial terms within approved limits Reject incomplete or unauthorised purchase requests Stop unauthorised material movement Recommend suspension of poor-performing vendors Report non-cooperation or system violations directly to management
