– PROJECT HEAD

1. Role Purpose

The Project Head is responsible for the overall planning, execution, quality, cost, timeline and customer satisfactionof multiple construction projects. The role requires strong leadership of the Project Management Team and ensures that all projects are executed as per approved scope, budget, quality standards and committed timelines.

The Project Head acts as the key link between Management, Project Managers, Site Engineers, Purchase, Commercial, Customer Success and other support functions.

1. Key Responsibility Areas (KRA)A. Project Execution & Delivery

- Take overall ownership of assigned projects from execution planning to handover.
- Ensure projects are delivered within approved scope, budget, quality and timeline.
- Monitor project progress against baseline schedules.
- Identify delays and take corrective action immediately.
- Review critical activities and project milestones regularly.
- Ensure proper coordination between PMs, Site Engineers, vendors and internal teams.

B. Project Manager Management
- Lead and manage the Project Manager team.
- Set clear targets and responsibilities for each PM.
- Conduct regular PM performance reviews.
- Monitor project-wise progress, manpower, cost and issues.
- Support PMs in resolving critical project challenges.
- Escalate repeated performance gaps to Management/HR.
- Build a strong ownership culture among PMs.

C. Multi-Project Monitoring The Project Head will oversee multiple residential/construction projects simultaneously.

Typical portfolio may include

- 40–50 active sites
- 4–5 Project Managers
- 15–20 Site Engineers
- Project Coordinators / Purchase / Commercial support teams

The exact portfolio may vary based on business requirements. D. Planning & Scheduling
- Establish project execution plans with PMs.
- Review weekly and monthly project schedules.
- Monitor critical-path activities.
- Ensure proper manpower and material planning.
- Track project milestones and handover commitments.
- Identify potential delays before they become critical.

E. Cost & Commercial Control
- Monitor project execution against approved budgets.
- Ensure scope changes are properly identified and approved.
- Coordinate with Purchase and Commercial teams.
- Monitor material consumption and wastage.
- Identify cost overruns and take corrective action.
- Ensure project profitability is protected.

F. Quality Management
- Ensure construction quality standards are consistently followed.
- Conduct regular project/site reviews.
- Identify recurring quality issues and implement preventive actions.
- Ensure proper inspection and approval at critical stages.
- Coordinate with technical/structural consultants whenever required.

G. Customer & Escalation Management
- Take ownership of major project-related customer escalations.
- Ensure customer concerns are addressed within defined timelines.




- Support PMs in difficult customer situations.
- Ensure commitments made to customers are realistic and properly communicated.
- Coordinate with Customer Success for major escalations.
- Track customer satisfaction and recurring complaints.

H. Vendor & Contractor Management
- Ensure timely mobilization of contractors and vendors.
- Monitor vendor performance, quality and productivity.
- Coordinate with Purchase regarding material availability.
- Address vendor-related delays and performance issues.
- Recommend replacement/escalation of consistently underperforming vendors.

I. Team Development
- Develop PMs and Site Engineers into accountable project leaders.
- Identify skill gaps within the project team.
- Coordinate with HR/Training for technical and behavioural training.
- Conduct regular performance discussions.
- Create a culture of ownership, accountability and problem-solving.

J. Reporting & MIS

Review and maintain

- Project-wise progress report
- Schedule variance
- Cost/budget status
- Material status
- Manpower status
- Quality issues
- Customer escalations
- Vendor performance
- Project risks
- Monthly project performance
- Handover status

Provide a consolidated Project Head Dashboard / MIS to Management.

1. Daily Responsibilities

- Review critical project updates.
- Check delayed/at-risk projects.
- Review PM escalations.
- Follow up on critical material/manpower requirements.
- Resolve inter-department coordination issues.
- Review customer escalations.
- Track critical milestones.
- Ensure immediate action on high-risk issues.

1. Weekly Responsibilities

Conduct a weekly Project Review Meeting covering:
- Project progress
- Planned vs actual schedule
- Delayed activities
- Manpower
- Material availability
- Quality issues
- Customer complaints
- Vendor performance
- Cost deviations
- Upcoming milestones
- Critical risks
- Corrective actions

Every critical issue must have: Issue → Owner → Action → Deadline → Status

1. Monthly Responsibilities

- Consolidated project performance review.
- PM-wise performance assessment.
- Project profitability review.
- Schedule-performance analysis.
- Quality-performance analysis.
- Customer satisfaction review.
- Vendor performance review.
- Manpower productivity review.
- Identify projects requiring management intervention.
- Prepare monthly Project Management report for Management.

1. Decision-Making Authority

The Project Head should have authority to:
- Reallocate project resources within approved limits.
- Escalate/recommend replacement of underperforming PMs, Site Engineers or vendors.
- Prioritize critical project activities.
- Recommend additional manpower where justified.
- Recommend corrective actions for project delays.
- Coordinate cross-functional resources for project requirements.
- Escalate budget/scope deviations to Management for approval.
- Stop or escalate work where serious quality or safety concerns exist.

1. Required Qualifications

Education:

- B.Tech / B.E. Civil Engineering preferred.
- Diploma in Civil Engineering with solid relevant experience may be considered.

Experience:

- Minimum 10+ years of relevant construction/project management experience preferred.
- Experience handling multiple residential construction projects.
- Experience managing Project Managers and Site Engineers.
- Experience in project planning, execution, cost and quality management.
