Role Summary
Procurement & Supply Chain will manage end-to-end procurement activities across India and international markets, including vendor management, strategic sourcing, contract negotiations, supply chain coordination, and project procurement for hotel setups. The role requires robust analytical, negotiation, and stakeholder management skills to optimize costs, ensure timely deliveries, and support hotel openings, renovations, and operational requirements.
Key Responsibilities
Category Management
- Handle procurement of:
- Hotel signage and brand implementation materials
- Staff uniforms and hospitality apparel
- Linen, bedding, towels, and soft furnishings
- White goods like , TV, AC, Mattress
- Guest room equipment
- Hospitality amenities and operating supplies
- FF&E;
- Track market trends, benchmark pricing, and identify cost-saving opportunities across categories.
Procurement Operations
- Manage the complete PR-to-PO procurement lifecycle using Oracle ERP or similar systems.
- Ensure timely purchase order creation, approvals, supplier coordination, production tracking, and delivery management.
- Monitor procurement timelines to support hotel openings, conversions, refurbishments, and operational requirements.
Supply Chain & Logistics Management
- Coordinate domestic and international logistics activities.
- Manage import/export documentation, customs clearance, freight coordination, and last-mile delivery.
- Ensure timely material availability while minimizing supply chain risks and delays.
Invoice Verification & Payment Support
- Validate supplier invoices against POs, GRNs, contracts, and approved commercial terms.
- Coordinate with finance teams to ensure timely vendor payments and resolution of invoice discrepancies.
Stakeholder Management
- Collaborate with hotel operations, project management, engineering, design, finance, and other cross-functional teams.
- Support procurement planning for new hotel openings, renovations, refurbishments, and ongoing operational requirements.
Strategic Sourcing & Vendor Management
- Identify, evaluate, onboard, and manage domestic and international vendors, suppliers, contractors, manufacturers, and service providers.
- Develop supplier partnerships and maintain strong vendor relationships to ensure quality, cost competitiveness, and timely deliveries.
- Conduct supplier performance reviews and drive continuous improvement initiatives.
Commercial & Contract Management
- Lead commercial negotiations, cost optimization initiatives, and value engineering opportunities to achieve best-in-class pricing and quality.
- Manage contract drafting, review, negotiation, execution, and compliance with company policies and project requirements.
- Ensure adherence to procurement governance, audit requirements, and contractual obligations.
Requirements & Qualifications
- 4-7 years of experience in Procurement and Supply Chain Management.
- Mandatory experience in procurement with a reputed hotel chain,
hospitality group, hotel ownership company, or large-scale hotel development organization.
- Strong experience in hotel project procurement, FF&E;, Capex, and Opex procurement.
- Hands-on experience in:
- Signage procurement and brand implementation projects.
- Uniform procurement and vendor management.
- Linen sourcing and procurement.
- White goods procurement including TVs, ACs, mattresses, refrigerators, and guest room equipment.
- Exposure to domestic and international sourcing and supplier management.
- Strong understanding of contracts, invoicing, commercial negotiations, and procurement compliance.
- Experience managing PR-to-PO processes in Oracle ERP or similar ERP platforms.
- Good understanding of import/export regulations, logistics, and supply chain operations.
- Strong negotiation, analytical, problem-solving, and stakeholder management skills.
- Advanced Microsoft Excel skills and basic project management knowledge.
- Ability to manage multiple hotel projects simultaneously in a fast-paced environment.
