Key Responsibilities:

Team & People Management

- Manage, mentor, corporate, warehouse and rider teams across Mumbai and Goa, ensuring adequate coverage and timely deliveries.
- Set clear performance expectations, conduct regular reviews, build a culture of accountability.
- Identify and resolve day-to-day issues within the team — from workload and scheduling conflicts to performance gaps — before they escalate.

Vendor Management

- Identify, evaluate, onboard, and manage vendors across all procurement categories (F&B; supplies, linen, guest amenities, maintenance, housekeeping supplies, etc.).
- Negotiate pricing, contracts, and service-level agreements to ensure quality and cost-efficiency.
- Build and maintain a vendor scorecard system tracking quality, pricing, and responsiveness.
- Maintain a healthy vendor pipeline/backup options to avoid dependency on a single source.

Process Integrity & Compliance

- Ensure procurement is conducted with full honesty and transparency — competitive quotes, documented approvals, and clear conflict-of-interest policies.
- Maintain proper documentation for purchase orders, invoices, and contracts.
- Put in place checks and approval workflows that prevent misuse, kickbacks,



or unauthorised purchases.
- Ensure compliance with company policy and relevant local regulations.

Quality Assurance

- Design and run quality audit and testing protocols for incoming goods (linen, amenities, F&B; supplies, maintenance materials, etc.) before they reach properties.
- Conduct periodic vendor site audits to verify hygiene, storage, and quality standards.
- Set up a sampling/inspection process and escalation path for any quality deviations.

Inventory & Warehouse Management

- Oversee stock levels, reordering thresholds, and wastage control at the warehouse.
- Ensure proper warehouse organisation, storage standards, and safety practices.
- Coordinate with the rider team to ensure timely, accurate deliveries to properties, tracking delivery SLAs.

Data, Analysis & Reporting

- Track procurement spend, cost savings, vendor performance, and inventory metrics.
- Build regular dashboards/reports for management covering budget vs. actuals, category-wise spend, and quality metrics.

Cross-functional Coordination

- Work with operations teams across locations (Goa, Alibaug, Lonavala, Coonoor, Srinagar, Mussoorie) to forecast procurement needs.
- Partner with finance on budgeting, invoicing, and payment cycles.
- Liaise with corporate team members in Mumbai and Goa to align on priorities.

Required Skills & Experience:

- Strong vendor negotiation and relationship management skills.
- Proven people management and team leadership abilities.
- Analytical skills — comfortable working with spend data, dashboards, and reports (Excel/Google Sheets; familiarity with procurement/ERP tools like Zoho, Tally, or SAP Ariba is a plus).
- Strong sense of ethics and integrity in handling procurement decisions.
- Working knowledge of quality control/audit processes.
- Logistics and inventory management understanding.
- Problem-solving skills with a methodical, structured approach.
- Robust written and verbal communication skills.
- Ability to manage multi-location teams and vendors simultaneously.
- Highly organised, detail-oriented, and self-driven.
