Role Overview

We are seeking an operational-minded, detail-oriented Project Management Officer (PMO) - Operations Manager professional to manage the core administrative, financial, and logistical engine of our Advanced AI Practice teams. In this role, you will lead and own daily operational processes - from managing resource utilization and financial tracking to cross-functional coordination with HR, IT, Finance, L&D; and Procurement while also supporting the operational rigor needed to run AI platform builds and product delivery cycles smoothly.

Key Responsibilities

- Resource Utilization & Financial Operations: Manage timesheet approval workflows, and compliance tracking across teams. Oversee weekly resource allocation, benchmark team utilization, and identify allocation movements in line with project demand. Track project/team budgets, purchase orders (POs), invoicing, and financial health reporting in coordination with Finance across IT and non-IT workstreams, including cloud/AI-platform cost lines.

- Employee Lifecycle & Workforce Planning: Lead end-to-end operational onboarding for new hires and offboarding/exit workflows for departing staff. Drive hiring logistics, headcount tracking, and resource-pipeline operational support. Partner with the Learning & Development (L&D;) team to coordinate required training, certifications, and skills tracking including emerging AI/GenAI skilling needs across the practice.

- Cross-Functional & Stakeholder Coordination: Serve as the central operational liaison for the HR, Workday, PID, and IT teams. Partner with Compliance to enforce internal policies, data privacy standards,



and audit readiness, including considerations specific to AI/ML data handling. Handle logistics, procurement requests, vendor interactions (including AI tooling/licensing vendors), and facilities coordination.

- Platform & System Administration Manage internal AI platforms used for practice operations, reporting, and delivery tracking. Ensure data integrity across internal operational databases and dashboards. Manage select product builds in a Project Manager capacity tracking scope, timelines, dependencies, and delivery risks for AI application initiatives. Drive adoption of AI-assisted reporting and automation within the PMO function to improve operational efficiency.

Must-Have Skills &

Experience (Mandatory)

- 8+ years of experience in a PMO, Operations Manager, or Business Operations role. Experience operating within a technology, data science, or AI engineering organization will be preferred.

- Strong working knowledge of enterprise operations tools: Workday, Jira, and MS Excel and Power BI.

- Hands-on exposure to Claude, GPT, Gemini etc. to drive day-to-day productivity.

- Deep understanding of resource utilization tracking, financial operations (budgets, POs, invoicing), and cross-departmental coordination.





- Proven experience managing employee lifecycle operations: onboarding, offboarding, headcount tracking, and resource-pipeline support.

- Experience coordinating with Compliance, HR, IT, and Procurement functions, including audit-readiness and data privacy requirements.

- Working experience managing budgets/operations for technology or product engineering teams (IT and non-IT).

- Robust stakeholder management, communication, and reporting skills, with the ability to operate independently across multiple concurrent workstreams.

Good-to-Have Skills

- Prior PMO/operations experience supporting AI, ML, or GenAI product/platform teams, including familiarity with cloud/GPU cost tracking (FinOps) concepts.

- Exposure to project/collaboration tools beyond Jira: Smartsheet, Asana, Monday.com, or ServiceNow.

- Familiarity with AI-assisted productivity and reporting tools (e.g., Power BI Copilot, Microsoft 365 Copilot, Power Automate) to streamline PMO operations.

- Working knowledge of data privacy and compliance frameworks relevant to AI/ML environments (e.g., GDPR, SOC 2).

- Experience with vendor/procurement platforms (e.g., SAP Ariba, Coupa) for managing software and AI tooling licenses.

- Exposure to workforce planning/resource forecasting analytics.

Qualifications

- Education: Bachelor's or Master's degree in Business Administration/ Management or a related field.

- Certification (preferred): PMP or CSM.

- Bonus: Experience operating within a technology, data science, or AI engineering organization.
