Key Responsibilities:1. Patient Conversion (OPD to IPD)

· Patient Assessment & Coordination: Assist physicians in identifying OPD patients requiring admission and coordinate with the medical team to streamline the process.

· Counseling & Communication: Clearly explain hospitalization needs to patients and families, addressing their concerns regarding treatment, costs, and procedures.

· Admission Facilitation: Ensure all necessary documents, approvals, and tests are completed for admission. Liaise with billing, insurance, and bed management teams.

· Follow-ups & Retention: Follow up with patients who delay or refuse admission, and work to convert them ethically and respectfully.

· Target Achievement: Work toward monthly/quarterly conversion targets. Maintain data on conversion rates and analyze drop-offs to improve performance.

2. Supervision and Guidance

· Staff Direction: Guide and instruct floor staff (nurses, coordinators, housekeeping, etc.) to ensure clarity in roles and responsibilities.

· Performance Monitoring: Evaluate team performance, provide constructive feedback, and coach staff for continuous improvement.

· Conflict Resolution: Address and resolve conflicts or issues among team members quickly and professionally.

· Training & Development: Train new hires and provide skill development sessions for existing staff.

3. Operational Efficiency

· Cleanliness & Organization: Ensure all areas (especially patient touchpoints) are clean, protected, and meet hospital standards.

· Inventory Management: Track consumables and medical inventory levels, and ensure timely restocking to avoid shortages.

· Policy Compliance: Enforce hospital SOPs and ensure consistent adherence to protocols, safety regulations, and quality benchmarks.

· Coordination with Other Departments: Work with billing, pharmacy, diagnostics, security,



and other departments for seamless operations.

4. Customer Service

· Complaint Handling: Act as the first point of contact for patient or family concerns. Resolve issues promptly and empathetically.

· Enhancing Patient Experience: Ensure that all patients and visitors receive courteous and prompt service, enhancing overall satisfaction and trust.

5. MIS, Reporting & Monitoring

· Feedback Analysis: Review and analyse all patient feedback from both OPD and IPD areas to identify improvement opportunities.

· Patient Footfall Monitoring: Track and report on OPD and IPD footfalls, highlighting trends or deviations.

· Doctor Timeline Adherence: Monitor doctor schedules and ensure adherence to consultation timelines.

· Reporting: Maintain daily/weekly reports on admissions, complaints, conversions, and operational metrics for senior management review.

6. Other Responsibilities

· Lost & Found Management: Ensure safe handling and tracking of lost and found items on the premises.

· Support During Emergencies: Assist in managing emergency situations, including high patient influx or system failures, while maintaining calm and control.

Qualifications & Experience:

· Minimum Qualification: Graduate (preferably in Hospitality, Healthcare Administration, or any discipline).

· Computer Skills: Proficiency in MS Office and Hospital Information Systems (HIS).

· Language Skills: Fluency in English, Hindi, and local language i.e. Marathi and Gujarati.
