About the Role

We are looking for an experienced Mechanical Engineer to take on the role of Desk Expeditor within the Client order execution team, based out of Pune.

The Desk

Expeditor acts as the central control point for Purchase Order (PO) execution, using the PLANNING TOOL (Milestone Management Tool) to track progress across the entire order lifecycle from Enquiry through Engineering, Procurement, Manufacturing, Inspection and Dispatch — ensuring delays are caught early and critical actions are closed on time.

Key Responsibilities

- PLANNING TOOL Milestone Tracking: Maintain and update all PO milestones in PLANNING TOOL, tracking planned vs. actual dates, progress, and delivery commitments.
- Vendor Coordination: Follow up with vendors on manufacturing progress, material readiness, inspections, pending actions, and dispatch schedules.
- Engineering Coordination: Track drawings and technical documents, comments, revisions, and approval status with the engineering team.
- Stakeholder Coordination: Liaise regularly with Client Engineering, Procurement, Projects, Vendors, and Venwiz teams to keep execution aligned.
- Action & Risk Control: Track action owners, committed dates, ageing items, delays, and recovery plans to keep orders on schedule.
- Inspection & Dispatch: Monitor TPI/FAT status, IRN, punch-point closures,



inspection clearances, and final dispatch.
- Reporting & Visibility: Ensure Planning tool always reflects the latest status and provide regular reports on delays, risks, and critical milestones to stakeholders.

Required Skills & Experience

- 4–5 years of relevant experience in desk expediting, order/PO execution tracking, or client & vendor coordination — preferably in a mechanical / industrial equipment manufacturing or EPC environment.
- Solid understanding of the order execution cycle: Enquiry Engineering Procurement Manufacturing Inspection Dispatch.
- Hands-on experience with milestone tracking tools / ERP systems (PLANNING TOOL or similar tools); strong proficiency in MS Excel is essential.
- Working knowledge of manufacturing processes, inspection stages (TPI/FAT), and dispatch documentation (IRN, punch lists, etc.).
- Excellent follow-up, coordination, and communication skills to manage multiple internal and external stakeholders simultaneously.
- Ability to proactively flag delays and risks, and drive action items to closure under time pressure.
- Strong attention to detail and ownership mindset for maintaining accurate, up-to-date milestone data.

Preferred Attributes

- Prior exposure to vendor/supplier management in a manufacturing or project-based setup.
- Experience preparing and presenting status reports/dashboards to management and clients.
- Comfortable working in a fast-paced, deadline-driven environment with cross-functional teams.

Education

- B.E. / B.Tech in Mechanical Engineering from a recognized institute.
