Role Description The Operations Specialist is a full time, on-site role based in Gurugram. This role is responsible for supporting day-to-day operational activities related to tanker, including coordinating documentation, tracking shipments, and maintaining accurate operational records.

The Operations

Specialist collaborates closely with brokers, clients, and external stakeholders to ensure timely execution of fixtures, adherence to contractual terms, and resolution of operational issues. The role involves monitoring vessel schedules, updating internal systems, preparing operational reports, and assisting in process improvements to enhance efficiency and service quality. Some Prerequisites as below:

Duties:

· Interpret and apply clauses from ASBATANKVOY, BPVOY, Shelltime, or Coastal Product Time Charter Party.

· Following up with charterers for voyage instructions and convey the same to masters/owners, making notes from instructions for further follow ups





· Monitor vessel positions, ETA updates, and voyage progress.

· Coordinate with masters, agents, and terminals for loading/discharge operations.

· Preparing Charter Party drafts, LOIs and other relevanr documentation

· Verify cargo documentation (Bills of Lading, cargo manifests, pumping logs).

· Ensure adherence to charter party obligations (laytime, demurrage, safe port clauses).

· Resolve operational disputes between owners and charterers.

· Ensure hire payments, off-hire events, and redelivery procedures are correctly managed.

· Monitor vetting requirements and terminal restrictions.

· Assist brokers with pre-fixture requirements.

· Provide market intelligence on port costs, bunker prices, and cpp/dpp/chems report

· Track vessel schedules, port approvals, and NOC clearances.

· Assist in invoicing commissions and hire/freight settlements.

Qualifications

- Strong analytical skills to interpret operational data, track performance metrics, and support decision-making.
- Effective communication skills for coordinating with internal teams, clients, and external partners, and preparing clear reports and updates.
- Sales awareness and commercial acumen to understand chartering dynamics, client requirements, and support brokers in delivering value-added service.
- Operations management skills to handle daily workflows, prioritize tasks, and ensure smooth execution of maritime operations.
- Proficiency in MS Office and relevant digital tools; familiarity with maritime or logistics systems is an advantage.
- Detail-oriented, with strong organizational skills and the ability to work in a fast-paced, deadline-driven environment.
- Bachelor’s degree in Business, Maritime Studies, Logistics, or a related field; experience in shipping, logistics, or maritime operations is preferred.
